Job OverviewThe Administrative Assistant plays a key role in maintaining an organized and efficient office environment. This entry‑level position provides administrative coordination across the organization, supporting managers, employees, and visitors, and assists with a variety of clerical tasks and daily operational needs.
Office Operations- Process mail and package deliveries, order and manage office supplies, and act as the point person for vendor coordination following established policies.
- Answer phones, greet visitors, and direct inquiries with a positive, customer‑centric attitude.
- Organize appointments, meetings, and travel arrangements for stakeholders.
- Perform data entry and expense report processing; prepare business correspondence, reports, and presentations as requested.
- Act as the main contact for internal and external clients and vendors, delivering timely responses and excellent customer service.
- Provide support for internal and external event planning and coordination, including scheduling, setup, and communication tasks.
- Write, edit, and distribute business memos, reports, emails, letters, and forms while maintaining accurate records in electronic and physical formats.
- Complete additional entry‑level tasks as assigned.
- High school diploma or equivalent; associate’s degree preferred.
- Prior administrative, clerical, or office assistant experience; experience as a receptionist/front office a plus.
- Basic proficiency in Microsoft Office Suite, including Excel and PowerPoint; familiarity with office equipment and learning administrative software systems.
- Strong verbal and written communication skills, effective time management, attention to detail, and problem‑solving abilities.
- Ability to use critical thinking and sound judgment in daily tasks; capable of multitasking, working independently, and maintaining confidentiality; works effectively in a collaborative, team‑oriented environment; prioritizes multiple responsibilities in a fast‑paced setting.
- Light lifting up to 50 lbs may be required.
- Corporate offices are reachable by elevator; ability to climb stairs if elevators are not functioning.
- General office noise and HVAC.
- Maintain the ability to sit and/or stand and operate a computer, multitask across multiple software communication and data entry programs, and use telephone devices for several hours a day.
- May be exposed to hazardous chemicals, biohazards, etc.
- Candidate must maintain punctual daily in‑person attendance.
This is an in‑office position with required hours Monday through Friday, 8:00 am to 4:30 pm, at the Cleveland office.
Pay Range$25 – $29 per hour.
