Job purpose
Assists the Therapeutic School Office Manager in the day-to-day operations of the center, including answering phones, filing and assisting with the lunch program.
Duties and Responsibilities- Align practice and work with the agency mission, vision, guiding principles, the trauma-informed Sanctuary Model®, the Neurosequential Model and the Re-ED philosophy.
- Assist Office Manager in daily operation of day treatment center.
- Act as center receptionist, as determined by center programming.
- Assist in monitoring and upkeep of Individual Client Records (ICR) and van usage paperwork.
- Monitor lunch program data collection and report on a daily basis to the Lunch Program Administrator.
- Oversee inventory and storage of breakfast items and milk/juice supplies plus organization and distribution of breakfast and lunches.
- Handle telephone operations, including but not limited to distributing calls, making appointments, taking messages, allowing access to building, etc.
- Perform general clerical duties, including but not limited to filing, duplications, and record keeping as assigned by the Principal and/or other staff.
- Operate office equipment, including but not limited to computer, copy and fax machines, etc.
- Participate in all required trainings, including but not limited to First Aid, CPR, Blood Borne Pathogens, Cultural Responsiveness, and Standards of Practice.
- Participate in staff development activities, parent conferences, team meetings, and staff meetings as scheduled or assigned.
- Work respectfully with a culturally diverse population of clients.
- Represent the agency and profession with appropriate decorum and dress.
- Adhere to PEP policies and procedures.
- High School Diploma or equivalent.
- Successful secretarial experience.
- Proficiency in Word processing, Microsoft Excel, and Outlook.
- Knowledge of office dynamics and administrative processes.
- Ability to complete tasks under stressful situations.
- Effective verbal and listening communication skills.
- Excellent interpersonal skills and ability to work effectively with others.
- Strong organizational skills and attention to detail with a high level of accuracy.
- Ability to make appropriate decisions and use sound judgment.
- Displays professionalism and a team-oriented attitude.
- Ability to lift 0–10 pounds.
- Ability to use a computer and keyboard; may limit time or take breaks per physician instruction.
- Can sit or stand per physician instruction; take breaks as needed.
