This position is to be a supporting hand with common day-to-day functions in the service department, primarily assisting with the billing portion for the service-related section and working with the dispatcher, service assistant, management, technicians, and others to create a steady, stress‑free work environment.
- Maintain service billing
- Provide customer support
- Draft correspondences and other formal documents
- Plan and schedule appointments and events
- Answer inbound telephone calls
- Maintain technician growth
- Grow service sales
- Previous experience in office administration or other related fields
- Commercial HVAC service experience to provide technical support
- Ability to prioritize and multitask
- Excellent written and verbal communication skills
- Strong attention to detail
- Strong organizational skills
- Experience in the commercial HVAC industry, preferably 5+ years
- Able to work with a service dispatch software
- Proficient in Microsoft Word, Excel, and Outlook
- Strong work ethic and good attendance
- Prior billing experience is a plus
The billing section is the top priority of this position. You must be able to:
- Understand and complete the billing of service calls
- Know the process of service work orders with correct information
- Understand today’s pricing structure of HVAC commercial industry
- Answer any technical questions that technicians have and provide recommendations, solutions, or strategies to achieve the best possible outcome for the customer
- Reach out to technicians for verification needed for ongoing work orders, answer customer questions, and ensure correct equipment/parts information with price and availability via vendor quotes or direct emails
- Help dispatch with technical questions
- Answer incoming phone calls and direct them to the right personnel
- Create and assist with quotes based on technician recommendations and dispatch needs
- Check the service email and respond accordingly or notify dispatch
- Cover certain positions such as Service Assistant or Dispatch when they are not in the office
- Handle any requests or instructions from supervisors
Pay is negotiable by experience.
