Administrative Assistant/Receptionist

One of the fastest growing public accounting and advisory firms is seeking an administrative assistant/receptionist in our downtown Cleveland, Ohio office. Job Responsibilities:

  • This position will perform various administrative support duties to include typing of financial statements, letters, various other reports and presentations, and copy work.
  • Schedule meetings, and book conference rooms for client visits.
  • Complete the scanning and binding of financial statements and related reports.
  • Assist with front desk/phone coverage for receptionist breaks/lunch.
  • Perform other duties/tasks as assigned.
  • Mail regular or certified mail, deliveries and overnights as needed.
  • Order lunch and or breakfast for meetings and set-up, clean-up from.
  • Update and maintain the Continuing Professional Education (CPE) database and print reports as needed for the professional staff.
  • Assist with the marketing needs of the firm, assist in the proposal process.
  • Assist the administrative staff with various projects as needed to meet deadlines.
  • Receive and respond to routine correspondence.
  • Scan client source documents for system autoflow.
  • To assist, support, and work closely with clients, staff, and other team members in providing payroll, tax, bookkeeping and accounting services.
  • Effectively prioritize work volume utilizing multi-tasking skills in order to meet filing deadlines.

Education and Experience:

  • Some college preferred.
  • Previous experience in accounting firm preferred.

Qualifications/

Skills Required:

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional proofreading skills and business acumen.
  • Must be detail oriented, highly organized with excellent written and verbal communication skills, and strong project management skills to effectively manage multiple projects and tasks simultaneously and complete tasks on-time and on-budget.
  • Possess a professional demeanor and enthusiastic personality who is comfortable interacting with the firm management, shareholders, professionals, and administrative team.
  • The ability to work well under pressure, to meet deadlines for presentations or projects. Must possess an excellent work ethic, good time management and attention to detail skills, and be exceptional at multi-tasking.
