Responsibilities
This position is to be a supporting hand with common day-to-day functions in the service department. The majority of this position is to be an accommodating hand to the billing portion for the service-related section. Alongside working with the dispatcher, service assistant, management, technicians, and others to create a steady, stress-free work environment.

- Previous experience in office administration or other related fields
- Commercial HVAC service experience to provide technical support
- Ability to prioritize and multitask
- Excellent written and verbal communication skills

- Strong organizational skills
- Experience in the commercial HVAC industry, preferably 5+ years
- Ability to work with a service dispatch software
- Proficient skills in Microsoft Word, Excel, and Outlook
- Strong work ethic and good attendance
- Prior billing experience is a plus
- Understand and complete the billing of service calls
- Knowledge of the process of service work orders with correct information
- Understand today’s pricing structure of the HVAC commercial industry
- Be able to answer technical questions from technicians and provide a recommended solution or strategy to achieve the best customer outcome
- Coordinate with technicians to verify ongoing work orders, provide answers to customer questions, and ensure correct equipment/parts information with price and availability (via vendor quotes or technician confirmation)
- Support Dispatch with technical questions
- Answer incoming calls and direct to the right personnel
- Create and assist with quotes based on technician recommendations with dispatch
- Monitor the service email and respond as appropriate
- Cover positions like Service Assistant or Dispatch when needed
- Handle requests or directives from supervisors
