Legal Administrative Assistant

Overview

We are seeking a detail-oriented Legal Administrative Assistant to support a busy legal department. This role is ideal for candidates with at least 2 years of legal administrative experience who thrive in a fast-paced environment and possess strong organizational, document management, and communication skills.

Employee-paid parking is required.

Responsibilities
  • Prepare, proofread, edit, and format legal documents, including pleadings, motions, briefs, affidavits, contracts, leases, reports, correspondence, agendas, minutes, and resolutions
  • Maintain filing, logging, and document tracking systems
  • Process public records requests and legal subpoenas
  • Monitor court, arbitration, administrative hearing, and meeting calendars
  • Track deadlines and notify legal staff of upcoming obligations
  • Manage records retention, archiving, document retrieval, and destruction processes
  • Perform scanning, copying, and general filing duties
  • Answer phones and greet visitors
  • Process incoming and outgoing mail
  • Assist with invoices, reports, and other administrative tasks
  • Support the legal team with a variety of clerical and administrative functions as needed
Qualifications
  • High School Diploma or GED required
  • Minimum 2 years of legal administrative experience required
  • Knowledge of legal terminology and legal office procedures
  • Experience drafting and formatting professional correspondence, reports, and legal documents
  • Strong calendar management and scheduling experience
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Typing speed of 65+ WPM preferred
  • Experience with digital file management;
    SharePoint experience is a plus
  • Strong attention to detail and proofreading skills
  • Bilingual skills are a plus
