The Administrative Assistant 1 provides clerical support to an assigned work unit, which consists of a manager and 4-8 other Probation staff members.
Essential Duties and ResponsibilitiesTo perform this job successfully, an individual must be able to satisfactorily perform each essential duty listed below. Greets clients, general public, and Court staff. Manages telephone calls, takes messages, responds to questions, and routes calls to appropriate staff person.
Performs clerical duties in assigned office including, but not limited to, receiving, sorting and distributing mail; maintaining and organizing office supplies; filing; copying.
Types probation documents as requested and required by assigned office staff.
Enters data into court electronic case management system as well as departmental created databases as required for assigned office staff.
Utilizes the Court's case management system as required for assigned office.
Communicates with Court staff and other agencies as required.
Serves as a substitute or replacement as required and/or assists other Administrative Assistants from other offices as called upon to type, complete reports, file, sort, copy, complete special projects, take messages.
Performs other duties/assignments as directed.
Supervisory ResponsibilitiesHas no direct supervisory responsibility for staff members.
Equipment OperatedStandard office equipment and office technology such as copy machines, personal computers and telephones.
Confidential DataAll court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility.
Working ConditionsWorks in a general office setting with moderate noise levels.
Must be flexible in work location and willing to provide services to more than one Probation unit.
Usual Physical DemandsWhile performing the duties of this job, the employee is required to sit, to speak clearly, and to hear. The employee must occasionally lift and/or move up to 10 pounds. This position is subject to many interruptions and may be required to handle multiple calls and inquiries at once.
Knowledge, Qualifications, Skills, and AbilitiesTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Ability to communicate effectively in a pleasant and cordial manner with court employees, and the general public; ability to perform general clerical duties and operate office equipment; computer skills. Ability to follow directions and respond to supervision. Must be able to handle stressful situations and use good judgment in notifying appropriate individuals to deal with problem situations in the office. Excellent customer service skills.
Able to use proper grammar and spelling, and organize work assignments to complete work in a timely manner. Able to establish and maintain work relationships, greet the public and properly answer telephones, and maintain confidentiality. Responsible, mature, dependable, and able to function independently.
