ResponsibilitiesAdministrative Assistant responsibilities:
- Make a memorable first impression to callers and visitors, ensuring the office space is first class
- Coordinate client meetings, including scheduling and preparing conference rooms, arranging lunches, and preparing materials
- Provide backup for answering phones
- Assist with maintaining the breakroom, stock supplies, and assist with setup/clean up when office lunches are brought in
- Schedule and coordinate office events, such as lunch & learns, happy hours, training sessions, busy season activities, and town hall meetings
- Maintain the office calendar and assist with creating the monthly office newsletter
- Receive and send mail and express packages
- Utilize various software tools and applications
- Type correspondence, reports, and other documents as needed
- Scan, copy, print, bind, and file projects
- Coordinate travel arrangements, including hotel rooms and rental car reservations for office colleagues
Marketing Conduit Responsibilities:
- Support local events and sponsor ships, including venue selection, invitations, meals, name badges, and swag purchases
- Coordinate registrations, payments, and approvals for event participation
- Maintain marketing materials, giveaways, collateral, and supplies in the office
- Assemble physical and digital sales packets as needed for advisors
- Serve as a local liaison to the corporate marketing team
- Identify office associates and activities for social media and public relations use
- Assist with Salesforce updates, PowerPoint presentations, and prospect/client list creation
- 2+ years in a professional office setting
- Experience coordinating the logistics of meetings and events
- Knowledge of various tax software packages is a plus
- Experience working in a deadline-focused environment
- Strong verbal and written communication across all levels of the firm
- Intermediate knowledge of Microsoft Word, Adobe PDF, PowerPoint, and Excel
- Professional office demeanor and business etiquette
- Willingness to tackle new challenges and projects
- Ability to learn new processes and best practices
- Desire to find opportunities to add value to the role
- Ability to multi-task while providing outstanding customer service to external and internal clients
