Executive Office Assistant – Dean’s Office (Direct Hire)
Location: Cleveland, OH
Schedule: Full-Time | Onsite
Are you a highly skilled administrative professional with a passion for supporting executive leadership in a fast-paced environment? Join the Dean’s Office team and play a key role in ensuring seamless operations at the highest level of academic administration.
Key ResponsibilitiesProvide direct support to executive management, including the Chief of Staff and Dean, by managing calendars, arranging travel and meetings, and welcoming guests.
Prepare, edit, and maintain correspondence, reports, presentations, letters, and newsletters on behalf of the Dean’s Office.
Track projects and assist the Chief of Staff in developing and maintaining Gantt charts for various office initiatives.
Serve as a back-up scheduler for the Dean and help organize meetings, agendas, and follow-up tasks.
Maintain and update internal resources such as phone lists and org charts using Microsoft Office Suite.
Assist in maintaining and updating the Dean’s Office website (training in Drupal provided).
Perform advanced computer tasks and may provide guidance or training to others on software systems.
Handle highly confidential information with professionalism and discretion.
Conduct internet research and provide analytical and problem-solving support as required.
Minimum 3-5 years of executive office experience required (10+ years strongly preferred).
College education preferred; candidates with 10+ years of executive support experience without a degree are welcome to apply.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong interpersonal, communication, leadership, negotiation, and organizational skills.
Demonstrated ability to excel in fast-paced, confidential environments.
Experience updating websites and a willingness to learn new software (Drupal training provided).
Work closely with university leadership and contribute to meaningful projects.
