You'll play a key role in ensuring smooth operations, coordinating vital meetings, and managing essential administrative tasks—all within a collaborative and mission-driven setting.

- High School Diploma or GED required;
Associate's Degree or college coursework preferred. - Minimum of 3 years of administrative experience in a healthcare or professional setting.
- Proficiency with Microsoft Office Suite, calendar management, and general office equipment. High-level experience managing complex calendars, coordinating multi-participant meetings, and resolving scheduling conflicts in a fast-paced environment.
- Exceptional organizational skills with keen attention to detail, and strong verbal and written communication
What You Will Do:
- Provide dedicated administrative support to Physician Chiefs and departmental staff, ensuring seamless day-to-day operations.
- Manage complex calendars and coordinate meetings, including agendas, minutes, and materials using MS Outlook, PowerPoint, and AI transcription tools.
- Assist with correspondence, phone calls, and document preparation, ensuring clarity and professionalism.
- Organize departmental projects and events, collaborating effectively with internal teams and external stakeholders.
- Support reimbursement processes and other operational duties as needed, demonstrating initiative and good judgment.
- Maintain compliance with all policies, including safeguarding Protected Health Information (PHI) through annual training and adherence to UH policies.
Required Skills:
- High School Diploma or GED required;
Associate's Degree or college coursework preferred. - Minimum of 3 years of administrative experience in a healthcare or professional setting.
- Exceptional organizational skills with keen attention to detail.
- Strong verbal and written communication abilities.
- Proficiency with Microsoft Office Suite, calendar management, and general office equipment.
- Ability to handle sensitive information with discretion and exercise sound judgment.
- Flexibility to adapt to changing priorities and deadlines.
- Experience with medical terminology and hospital systems highly advantageous.
Nice to Have
Skills:
- Experience with Oracle/SSI Markview or similar ERP systems.
- Familiarity with GPS scheduling tools.
- Previous work supporting physicians or healthcare teams.
- Knowledge of reimbursement processes and billing.
Preferred
Education and Experience:
- 3+ years of relevant administrative experience.
- College coursework or an Associate's Degree is a plus.
- Prior experience working in a hospital or healthcare setting.
Other Requirements:
- Ability to work full-time hours from 8:00 AM to 4:30 PM, Monday through Friday.
- Must be able to pass a background check, drug and TB screening
