Salary Range: $65,000.00 To $75,000.00 Annually
GeneralPurpose:
The Corporate Office Administrator provides high level administrative and organizational support to the CEO, CFO and CCHO. The Corporate Office Administrator ensures efficiency of the corporate office and plays a key role in managing schedules, supporting governance and board relations, along with day to day communications and operations that support executive leadership and the mission of the organization. The Administrator serves as a key liaison between the CEO, internal leadership, the Board of Directors, residents and external stakeholders.
EssentialDutiesand Responsibilities :
- Coordinate and facilities long-range plans and specific functions/meetings of the Board of Directors and its JSI Board, Executive, Finance, Investment, Quality, Home Care Board.
- Organizes and supports board meetings and internal meetings, including scheduling, compiling materials, recording minutes with accuracy and discretion, including confidential information and documents.
- Prepare and edit correspondence, presentations, and reports on behalf of the CEO, CFO and CCHO.
- Assistsincoordinatingagendaandmaterials including presentationsforspecificfunctionsandmeetingsofthe
Corporate Executive Group and other managers as necessary. - Support the operations of the corporate office, including supply management, vendor coordination and general office administration.
- Represents the CEO in meetings or on committees as needed, ensuring follow-through and alignment of next steps.
- Facilitate effective communication and collaboration among departments, including operations, clinical services and resident engagement.
- Maintain confidential files and documents related to leadership, strategic planning and regulatory compliance.
- Assists in the creation and distribution of corporate communications, creating newsletters and executive messaging in support of CEO and senior leadership.
- Coordinates logistics for internal events, leadership retreats, and donor or community functions hosted by the CEO.
- Assists in planning organizational ceremonies and town halls in collaboration with relevant departments.
- Gathersallcorporatecreditcardreceiptsandschedulesoutforcodingandprocessescreditcardpayment voucher.
- Prioritizes conflicting needs, handles matters expeditiously, proactively and follows-through on time sensitive projects.

- Provide Notary Public Servicestoresidentsandstaff .
- Performgeneralofficedutiessuchasorderingsuppliesandensuringallofficeequipmentismaintained and up to date.

- Bachelor’sdegreein
Business
Administration,orcloselyrelatedfieldfromanaccreditedinstitution,or - Associate Degreewithminimumthree(3) yearsofrelevantworkexperienceinfast-paced,office environment supporting Corporate Level executives, preferably in non-profit organizations.
- Mustbeproficientwith Microsoft Wordand Microsoft Excelaswellasafunctionalworkingknowledgeofother Microsoft Office suite programs.
- Excellent communication,presentation,organizational,andtimemanagementskillswithastrongbackground in successfully delivering exceptional customer service and strong attention to detail.
- Abilitytoworkinafast-pacedenvironmentwithminimalsupervision,timemanagementskillstoensure completion of duties and be a forward looking thinker who activelyseeks opportunities and proposes solutions.
- Abilitytoroutinelytravellocallyandperiodicallyworkanon-traditionalschedule/outsideregularbusinesshours if needed
