About the Role
We're looking for a detail-oriented Construction Project Administrator to manage project documentation and insurance compliance for a growing construction organization. This role is the backbone of the administrative pipeline — ensuring subcontracts, vendor agreements, and compliance certificates are accurate, fully executed, and risk-free. The ideal candidate thrives in a fast-paced construction environment, has sharp organizational instincts, and takes pride in running a tight, error-free process.
What You'll DoContract Administration
- Prepare, review, and issue standard construction subcontracts, purchase orders, and vendor agreements
- Track contracts through their full lifecycle — signing, revisions, and internal approval routing
- Maintain organized physical and digital contract files, logs, and change orders
- Request, review, and track Certificates of Insurance (COIs) from subcontractors and vendors for alignment with project requirements
- Maintain a compliance log and proactively follow up on expiring policies to reduce corporate risk
- Support project teams with documentation for insurance claims, audits, and wrap-up programs (OCIP/CCIP)
- Serve as the go-to point of contact for project managers, subcontractors, and vendors on administrative paperwork
- Maintain and improve digital filing systems (Procore, Excel, cloud storage) for fast, reliable data retrieval
- 2+ years of administrative experience in construction or real estate
- Working knowledge of construction contracts, lien waivers, and standard insurance requirements (GL, Auto, Workers' Comp, Umbrella)
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Procore, Sage, or Bluebeam a plus
- Excellent attention to detail, strong communication skills, and the ability to juggle multiple deadlines in a fast-moving environment
