Client Service Administrator, Group Benefits – Job Description Position Summary

Responsible for providing internal support to an account management team for an assigned book of business. Collaborates with sales and service staff, interfaces with clients and carriers, maintains records, supports client retention activities, and performs administrative and operational duties to ensure high-quality client service delivery.

Functional Leadership & Ownership
  • Provide direct administrative support to assigned Client Managers and act as a key service resource for client accounts.
  • Serve as a client contact and respond to inquiries regarding enrollment, billing, claims, and related administrative matters.
  • Support client retention efforts and identify opportunities for up-selling or cross-selling products and services.
Hands-On Execution & Delivery
  • Maintain client account information, commissions, and records within systems of record.
  • Collect, organize, and catalog account documentation from clients and vendors.
  • Prepare client and carrier deliverables, presentations, meeting materials, and enrollment documentation.
Reporting, Quality & Operational Support
  • Ensure data accuracy, timely documentation, and commission tracking.
  • Capture meeting notes, monitor action items, and document outcomes.
  • Request and review reports, plan documents, Form 5500s, and client-specific information.
Cross-Functional Partnership & Integration
  • Coordinate with Business Development, Marketing Analysis, Benefits Analytics, Health Management Services, vendors, and carriers.
  • Schedule and facilitate meetings to support client service objectives.
  • Partner with internal stakeholders to ensure seamless support and issue resolution.
Growth, Change & Special Initiatives
  • Support renewal processes by collecting incumbent carrier information and soliciting alternate vendor bids.
  • Develop knowledge of healthcare reform, HIPAA, COBRA, and related legislation.
  • Build understanding of healthcare plan fundamentals, claims processing, eligibility, and open enrollment processes.
Process Improvement & Best Practices
  • Maintain accurate client records and standardized documentation.
  • Identify opportunities to streamline administrative and client servicing processes.
  • Promote efficient and consistent service delivery practices.
Center of Excellence (COE) Contribution
  • Support the adoption of standardized client service processes and documentation.
  • Contribute to knowledge sharing and operational consistency across teams.
Accountability
  • Deliver accurate and timely administrative and client support services.
  • Maintain the integrity of client data, documentation, and commission records.
  • Support successful client retention, renewal, and service initiatives.
  • Build collaborative relationships with clients, carriers, and internal stakeholders.
  • Demonstrate sound judgment, organization, and ownership of assigned responsibilities.
Required
  • High school diploma or equivalent; college degree preferred.
  • 1-3 years of benefits, insurance, or related industry experience preferred.
  • Strong written and verbal communication skills with professional business etiquette.
  • Ability to manage multiple priorities across employer groups simultaneously.
  • Ability to obtain a Health and Life License within 12 months of hire.
Preferred
  • Experience with medical benefits and ancillary lines of coverage.
  • Experience interacting with HR teams and employees across all organizational levels.
  • Knowledge of claims processing, eligibility, COBRA, and open enrollment processes.

Compensation

The base salary range for this position is $50,000 to $55,000 annually. Individual compensation will be determined based on a variety of factors including relevant experience, skills, education, and internal equity.
