Artistic Operations Associate

GRAMMY-winning baroque orchestra APOLLO’S FIRE seeks a collaborative and enthusiastic Artistic Operations Associate to manage logistics and provide support for the Apollo’s Fire artists. This is a full-time position reporting to the Director of Artistic Operations & Touring (DAOT).

As an integral member of the Artistic department, the Artistic Operations Associate (AOA) plays a crucial role in concert operations. The AOA creates a smooth and supportive work environment for the artists, while serving as the right-hand administrative support for the Director of Artistic Operations & Touring. The AOA enjoys considerable variety in their work, as the AF season is built of 7-8 distinct projects, each with its unique set of artists.

Apollo’s Fire

GRAMMY® award-winning ensemble Apollo’s Fire (AF), based in Cleveland and Chicago, is one of the world’s leading period-instrument baroque orchestras and choruses. Under the direction of Artistic Director Jeannette Sorrell, AF performs about 40 concerts per year in Northeast Ohio and 8-10 concerts per year on its Chicago Series. AF tours internationally at such venues as Carnegie Hall, the BBC Proms (London), St Martin in the Fields, the Tanglewood, Ravinia, and Aspen festivals, the Library of Congress, the Metropolitan Museum of Art (NYC), and more.

Our Mission

In our joyous pursuit of excellence on the international level, we also bring classical music to new audiences through creative and multicultural programming – breaking down barriers and helping today’s audiences to tap into our shared history.

Responsibilities
  • Manage artists’ travel, including flights, rental cars, etc. in Cleveland, Chicago, and on tour; communicate with the artists about their needs and accommodations, ensuring a high level of artist care; be on call during musician travel days to troubleshoot any problems; code and send all travel receipts to the finance department.
  • Arrange tour logistics, including booking group travel, lodging, ground transportation, etc.
  • Arrange all artist hospitality/catering and necessary meals in Cleveland and Chicago.
  • Liaise with Production Manager regarding artist production needs.
  • Communicate and assist with artist comp ticket requests.
Support for the Director of Artistic Operations
  • Prepare musician contracts, per-diems and payroll spreadsheets.
  • Manage instrument rentals on tour, as needed.
  • In consultation with the DAOT, process US artist visas (O and P) as well as assist with international visas if needed.
  • Assist and support the DAOT with other administrative needs, including compiling artist bios for program books, updating travel info in the DAOT’s itinerary docs, etc.
Support for the Artistic Director
  • Assist and support the Artistic Director by arranging auditions; communicating with auditionees; monitoring the “auditions@apollosfire” email account; preparing Apollo’s Fire CD merchandise to be sold at the AD’s guest engagements (i.e., packing CDs and signage; this may occasionally involve shipping a box of CDs); depending on skill-set, the AOC may be asked to assist the AD with a few other small artistic tasks (not more than 1 hr/wk).
General

Concert duty: there are 7-8 sets of concerts per year, with 4-6 performances in each set. Staff are expected to be willing and able to cover all roles, including front-of-house, door sales, and merchandise sales in Cleveland. Attendance is required at 75-80% of all Cleveland concerts as well as special events. Staff are also expected to travel to Chicago 1-3 times per year to cover concert duties on the Chicago series.

Travel for tour is minimal for this position.

This position is an in‑person role and requires evening and weekend hours. Comp time for evenings and weekends is available.
