Finance & Grants Manager

Position Summary

The YWCA of Greater Cleveland is seeking a Finance & Grants Manager to help steward the financial integrity of a $9 million nonprofit organization serving women and families across our community. With approximately 100 employees across two business units, this role plays a critical part in ensuring that payroll, grants, and departmental budgets are managed with accuracy, compliance, and transparency.

This position is part of a small but highly impactful finance team. In our environment, every team member carries meaningful responsibility and works closely with organizational leadership. The Finance & Grants Manager must be comfortable operating with both independence and collaboration, professionally engaging with strong personalities, program leaders, and executive staff while maintaining clear financial boundaries and internal controls. The work is detailed and compliance-driven, but the impact is deeply mission-centered.

Key Responsibilities Payroll Administration (iSolved)
  • Process biweekly payroll for approximately 100 employees using iSolved
  • Ensure accurate timekeeping, wage calculations, deductions, and benefit integrations
  • Maintain payroll compliance with federal, state, and local regulations
  • Coordinate payroll changes with HR (new hires, terminations, rate changes, leave)
  • Reconcile payroll reports and prepare related journal entries
  • Support year-end payroll processes including W-2 and 1095 reporting
  • Maintain confidentiality and strong internal controls over payroll data
Grants Financial Management
  • Track grant budgets and expenditures across two business units
  • Monitor restricted funds to ensure compliance with funding requirements
  • Prepare financial reports for county, state, federal, and private funders
  • Submit reimbursement requests and track receivables
  • Assist program managers in understanding allowable costs and spending timelines
  • Support grant audits and documentation requests

    Assist with cost allocations and indirect cost tracking
Department Budget Support
  • Assist the Finance Director in monitoring departmental budgets
  • Provide monthly budget-to-actual reports to department leaders
  • Identify variances and support managers in understanding financial impact
  • Support forecasting efforts and mid-year budget adjustments
  • Promote consistent financial reporting practices across departments

Note:

Department leaders retain ownership of their budgets; this role provides financial analysis and monitoring support.

Financial Operations Support
  • Assist with monthly close and preparation of financial reports
  • Support audit preparation and documentation
  • Maintain financial documentation and internal controls
  • Identify process improvements in payroll, grants, and budgeting workflows

The ideal candidate brings experience in nonprofit finance, payroll processing, grants management, budget analysis, and regulatory compliance. Strong analytical skills, attention to detail, time management, and the ability to manage multiple deadlines are essential. Experience with iSolved or similar HRIS/payroll platforms is highly desirable.
