Position Overview
The Construction Operations Specialist is responsible for ensuring that customer service is provided to all internal and external parties and quality loans are generated. This role is responsible for the origination and processing of construction loans and serves as the first point of contact for the construction loan officer and construction processing team for loan level questions and escalations. The Construction Operations Specialist supports the origination, processing, and administration of construction loans by validating builders, contractors, and construction‑related entities and conducting due diligence reviews to ensure compliance with lending program requirements.
Responsibilities- Validate builder, renovation contractor, and other construction‑related entities associated with mortgage loans by verifying active business registration and standing through applicable state and regulatory sources prior to loan processing.
- Review and confirm contractor eligibility requirements for OTC builder, renovation, and end‑loan construction transactions, ensuring required validations are completed to satisfy loan program and workflow control requirements.
- Conduct reviews of OTC builders to verify licensing, insurance coverage, business qualifications, and credit standing.
- Manage construction loan pipelines by monitoring key project milestones and initiating status update requests to builders and borrowers at established trigger dates, including 90 days without a draw request, 60 days prior to loan term expiration, and 30 days prior to loan term expiration.
- Conduct follow‑up outreach, including phone contact 7 days prior to loan term expiration, to obtain project status information, facilitate timely resolution of outstanding items, and support loan administration activities.
- Maintain accurate loan records by documenting updates and communications within loan tracking systems and coordinate the collection and processing of extension requests and applicable fees when loan term extensions are required.
- Act as a liaison between sales and operations for construction loans by answering questions and handling loan level escalations.
- Follow standard operating procedures, job aids, and resources when providing loan support.
- Monitor an active pipeline of loans, ensuring customer service is provided.
- Ensure disclosures are issued timely and accurately to borrowers on construction loans by utilizing company compliance reminders and tools.
- Communicate progress with department managers and senior leadership team; summarize project information and establish business needs and concepts.
- Create and monitor various reports to ensure pipeline management as needed.
- Bachelor’s degree or equivalent combination of education/experience, preferred.
- 5+ years of experience in mortgages.
- Knowledge of all agency guidelines.
- Knowledge of compliance and disclosure requirements.
- Encompass LOS experience, preferred.
- Excellent organization, prioritization, and time‑management skills.
- Excellent conflict management and negotiation skills.
- Proficient in Microsoft Office suite (Word, Excel and Outlook).
