Job Summary
The Legal Technology and Data Specialist supports the firm’s practice‑specific applications, data processing tools, and file sharing platforms across all practice areas. This role provides day‑to‑day system administration, user support, and secure data handling, including coordinating SFTP transfers, overseeing lateral attorney data migrations, and facilitating secure data movement in accordance with firm information governance protocols. The focus is on resolving data issues, evaluating file types, troubleshooting and converting files when needed.
EssentialJob Functions and Responsibilities
- Create and maintain network folders for new matters ensuring accurate folder structure and access permissions are set up.
- Gather, review, and organize data requested for transfer into or outside of the firm. Ensure legal team review. Zip data with necessary encryption for external transfer following Information Governance protocols.
- Upload and download data to/from secure file sharing platforms in coordination with legal teams and Practice Technology Project Managers’ requirements.
- Use the firm’s data processing tools to evaluate, organize and process data for use with Relativity or other production needs.
- Troubleshoot data issues as needed for legal teams.
- Manage and administer the Firm’s file sharing platforms, applying appropriate security using tools such as 7
Zip, Win Zip, WinRAR, etc. - Provide first‑ and second‑level support on Share File and Egnyte, and create, manage, and maintain both end‑user and administrator training materials.
- Educate new lawyers and secretaries on best practices for data organization on network shares, file sharing platforms, and the document management system.
- Assist with review, implementation and support of legal applications (e.g., Deal Closer, Litera, Docu Sign, Proof, PSP, INSzoom, tax and real estate portfolio applications).
- Educate legal teams on preparing e‑binders using Kofax, Adobe and Deal Closer.
- Monitor server disk space and recommend storage options; collaborate with network engineers.
- Work with technology teams to develop, implement and sustain standard desktop images for Virtual and Desktop machines.
- Develop checklists and provide support for trial laptops, including dual‑monitor setups, applications, printers and war‑room network connections.
- Assist trial teams with technical support and provide training documentation for PT hardware and software.
- Assist lawyers, paralegals and the Practice Technology team with approved data uploads/downloads from cloud‑based storage solutions such as Drop Box and One Drive.
- Capture and edit media (websites, videos, social media) for use in presentations and the firm’s portal.
- Provide firm backup extranet support, including site setup, account management, data uploads, exports, upgrades and testing.
- Develop and sustain a software license tracking process to ensure compliance across all Practice Technology applications.
- Prepare copies of media (CDs, DVDs, flash drives, external drives) as directed.
- Provide backup support to other Practice Technology functions and roles as requested.
- Other duties as assigned.
- Thorough understanding of hardware, application support and troubleshooting processes.
- Thorough understanding of data types, organization practices and sharing options.
- Thorough understanding of data encryption methodologies.
- Prefer experience with legal technology and implementation options.
- Prefer understanding of e‑discovery data processing tools for legal document review.
- General understanding of networking technology.
- General understanding of database configuration and support.
- Exceptional troubleshooting and problem‑solving skills.
- Efficient use of processing tools, Microsoft Office, Adobe Acrobat, Kofax, Net Docs, and current version legal applications.
- Experience with law‑specific tools such as iPro eCapture, Avvoka, OnCue and others.
- Attend seminars and conferences to stay current on technology trends in the legal industry.
- High School diploma or equivalent required.
