Development Coordinator

Great Lakes Science Center seeks a highly organized, detail-oriented, and collaborative Development Coordinator to provide essential administrative and operational support to the Development Department. This position will assist with gift processing, donor and prospect data entry, CRM database maintenance, fundraising reporting, donor communications, and the planning and execution of Development events.

Working closely with the Development team, the Development Coordinator will help ensure that gifts are processed accurately and promptly, donor records are maintained with the highest level of integrity, and the department's fundraising and engagement activities are well organized and effectively executed.

The ideal candidate is a proactive team player with strong attention to detail, excellent organizational skills, and an interest in nonprofit fundraising and philanthropy. Expected Hours of Work:
Monday through Friday, 9:00 am to 5:00 pm. Occasional evenings and weekends.

Salary: $42,000-$48,000

Essential Duties and Responsibilities:

CRM & Development Operations Support

  • Manage the timely and accurate processing and entry of charitable gifts, pledges, grants, sponsor ships, and in-kind contributions.
  • Enter and update donor and prospect information in the Science Center's Altru CRM/database.
  • Prepare and distribute gift acknowledgement letters, tax receipts, and other donor correspondence.
  • Track pledges, recurring gifts, payments, and outstanding commitments.
  • Work with the Finance Department to ensure accurate gift processing and reconciliation.
  • Maintain accurate records related to donor recognition, benefits, naming opportunities, and sponsorship commitments.
  • Provide day-to-day administrative support for Altru database, including routine data entry, data cleanup, and database maintenance.
  • Support the preparation of donor lists, mailing lists, reports, queries, and other information needed by the Development team.
  • Administer data pulls and reporting for annual giving, major gifts, institutional giving, campaigns, stewardship, and special events.
  • Serve as the department's CRM administrator to develop reporting structures and system improvements.
  • Coordinate departmental budgets and monitor fundraising performance metrics.
  • Coordinate Development-related website content with Marketing and manage online fundraising.
  • Participate in Development team meetings and contribute to a collaborative and service-oriented team environment.
  • Perform other duties as assigned in support of the Development Department and Great Lakes Science Center's mission.

Special Events

  • Provide administrative and logistical support for Development events, including donor cultivation and stewardship events, fundraising events, campaign events and recognition activities.
  • Manage event invitations, RSVP's, guest lists, seating assignments, name badges, check-in, and attendance tracking.
  • Develop event communications and materials, including invitations, programs, signage, and other event collateral.
  • Coordinate event fundraising technologies.
  • Support event logistics, including room setup, catering, vendors, supplies, and other event needs.
  • Enter and maintain event attendance and participation information in the Altru database.

Requirements

Qualifications:

  • Bachelor's degree preferred, or equivalent combination of education and relevant experience.
  • 1-3 years of experience in non-profit administration, development, customer service, database management or related field.
  • Experience with a CRM or database system preferred; experience with Altru is a plus.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook, and a familiarity with Canva.
  • Ability to work occasional evenings and weekends in support of Development events.
