Position Overview

The Deficiency Specialist is responsible for reviewing inspection reports created by certified inspectors and generating accurate, timely quotes for corrective actions. This role ensures that fire protection systems are brought into compliance efficiently and professionally. The Deficiency Specialist does not conduct inspections but plays a critical role in translating inspection findings into actionable repair plans.

Responsibilities
  • Review inspection reports submitted by certified inspectors to identify deficiencies requiring corrective action.
  • Classify deficiencies based on severity (e.g., impairment, critical, noncritical) in accordance with NFPA 25 standards.
  • Generate accurate and timely repair quotes using Salesforce and other internal systems.
  • Ensure quotes are issued within 8 business hours of receiving the inspection report.
  • Include all necessary documentation and pricing details and ensure compliance with internal quoting standards.
  • Communicate quote details and compliance requirements to clients professionally and clearly.
  • Follow up with clients within 8 business hours of quote delivery to answer questions and encourage approval.
  • Track quote approvals and update opportunity statuses in Salesforce to reflect accurate commission eligibility.
  • Coordinate with internal scheduling teams to arrange service appointments for approved repairs.
  • Ensure service tickets are created and linked to approved opportunities for accurate tracking.
  • Escalate site survey needs to Key Account Managers or Sales when required.
Qualifications
  • High school diploma or equivalent required.
  • 2+ years of experience in fire protection, construction, estimating, or related field.
  • Familiarity with NFPA 25 standards and fire protection systems preferred.
  • Experience with Salesforce or other CRM/ERP platforms strongly desired.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Strong attention to detail and organizational skills.
  • Ability to interpret inspection reports and technical documentation accurately.
  • Excellent written and verbal communication skills.
  • Customer service mindset with ability to explain technical details clearly.
  • Strong problem‑solving skills and ability to meet time‑sensitive deadlines.
  • Proven ability to work independently and collaboratively across teams.
  • Commitment to compliance, accuracy, and continuous learning.
