The Associate Dean for Graduate Studies and Administration provides academic leadership in support of the mission of Immaculate Conception Seminary School of Theology. Key roles include academic advisement, administration of graduate programs, grant writing and oversight. The Associate Dean for Graduate Studies and Administration directly supervises at least six administrative staff members and serves as a liaison to the Department of Public Relations and Marketing and the Department of Human Resources.

Duties

and Responsibilities
  • Academic Advisor for lay students.
  • Administrator, Graduate Programs
    • a. Provide administrative oversight for all graduate programs in the School of Theology, including the diaconal program.
    • b. Collaborate with Associate Dean in long‑term strategic planning to further the mission of the School of Theology.
    • c. Participate in the planning and execution of all academic events such as lectures, commencement, and hooding ceremonies.
    • d. Collaborate with the Associate Dean for Seminary and Academic Studies to organize the School of Theology summer program of classes, lectures, and workshops.
  • Administrator, Certificate in Catholic Evangelization Program
    • a. Provide leadership and oversight of the Certificate in Catholic Evangelization program (CCE) offered l Inside the Walls Evangelization Center, Madison, NJ.
    • b. Participate in regularly scheduled meetings of the leadership team l Inside the Walls.
    • i. Conduct meetings with students and professors.
    • ii. Develop, design, and/or conduct workshops, retreats, and lectures.
    • iii. Conduct on‑site visits of each class.
    • iv. Provide program assessment and strategic planning.
    • v. Participate in creating, organizing, and facilitating regularly held retreats, lectures, and workshops both on campus and at local parishes.
    • vi. Analyze, evaluate, and assess programs, and provide strategic planning.
    • c. Conduct sustainability planning.
    • d. Develop new programs and seek approvals.
  • Human Resources Liaison and Personnel Administrator
    • a. Review the annual goals of each supervisee, make suggestions, and provide evaluative analysis throughout the year.
    • b. Arrange for and participate in annual staff retreat.
    • c. Lead administrative and staff meetings at least twice each semester.
    • d. Create, review, and edit job descriptions of staff and administration in academic offices.
    • e. In the event a position is vacated, create and submit job postings, monitor applications, and respond to applicants.
    • f. Conduct interviews, as requested by Rector/Dean.
    • g. With approval of Rector/Dean, Vice‑Rector, and Associate Dean, proceed with hiring of new personnel.
  • Administrative Liaison to Department of Public Relations and Marketing
    • a. Attend meetings with the Department of Public Relations and Marketing and ICSSST administrators to develop and implement effective communication plans to promote the visibility and reputation of ICSSST.
    • b. Collaborate with the Department to design a strategic plan and foster sustainability efforts.
    • c. Implement marketing and advertising plans.
    • d. Assist in various promotional efforts, both in print media and video production, assuring accuracy.
    • e. Review, edit, and contribute to the development of press releases and ICSSST publications such as handbooks, brochures, and catalogues.
  • Grant Writer and Supervisor
    • a. With the direction of the Rector/Dean, apply for grant initiatives in alignment with the mission of Immaculate Conception Seminary School of Theology.
    • b. Research, write, and edit grant proposals, assuring timely submission.
    • c. Consult with Seton Hall's Office of Corporate and Foundation Relations, as well as the Department of Grants and Research Services.
    • d. Assist faculty and administrators in the grant writing process.
    • e. Track deadlines.
    • f. Spearhead the hiring of personnel to administer new grant initiatives.
    • g. Supervise grant directors and key personnel, reviewing and assessing all work.
    • h. Ensure compliance with grant proposal and accuracy in financial reporting.
    • i. Oversee and evaluate each director's annual report, giving guidance and making edits.
    • j. Cultivate positive collaboration with grantors, grant partners, and key stakeholders.
