The Ambulatory Office Specialist is responsible for Patient Access functions for ambulatory services in the setting, including facility scheduling, pre‑registration, registration, insurance verification, pre‑certification, work queues, and financial clearance, under the direction of practice managers/directors.
Responsibilities- Implement Ambulatory scheduling, pre‑registration, pre‑certification, referral procurement, and insurance verification policies for the assigned ambulatory point of service.
- Ensure referral and registration work queues are maintained daily.
- Capture and enter patient registration and demographic information accurately into EPIC.
- Comply with HUMG patient financial responsibility and collection policies.
- Provide administrative information to patients as directed.
- Communicate with clinical area to keep patients informed of delays if needed.
- Schedule follow‑up tests upon discharge.
- Participate in audits of registrar accuracy and efficiency related to insurance and reimbursement.
- Participate in coding, scheduling or related activities as required.
- Mediates scheduling, pre‑registration, pre‑certification, or registration issues and escalates unresolved issues.
- Comply with all procedural workflows and departmental policies.
- Assume additional responsibilities as directed by Operations Manager, Director or practice area.
- Identify patient population needs and adapt care accordingly, communicating at an appropriate level.
- Adhere to the Standards identified in the Medical Center's Organizational Competencies.
- High School diploma, GED, or equivalent.
- EPIC Cadence and Prelude training; must pass exam upon completion.
- Proficient PC skills.
- Customer service proficiency.
- Proficient written and oral communication skills.
- Familiar with medical terminology.
- College BA/BS or Associate's Degree.
- Analytical skills relevant to registration/business or finance/medical terminology.
- Experience with EPIC HB, Cadence, or Prelude.
Minimum rate of $23.97 hourly. The posted rate is an estimate of the minimum base pay for this role and does not reflect the full market‑competitive total rewards package.
Base compensation may vary based on labor market data, experience, education, certifications, skills, geographic location, internal equity, budget, grant funding, and other non‑discriminatory factors. Some positions may include performance‑based incentives, bonuses, commissions, or shift differentials.
