Position: Executive Assistant & Operations Lead (FT- Hybrid-DC, MD, VA Candidates Only)

They are currently seeking a highly experienced and proactive Executive Assistant & Operations Lead to serve as a strategic partner to senior leadership and a key driver of organizational effectiveness.

This hybrid role, based in the Washington, DC area, sits at the intersection of executive support, operational leadership, and systems optimization. The Executive Assistant & Operations Lead will support the Executive Director while also owning internal processes, coordinating cross-functional initiatives, and strengthening the systems that enable the organization to scale effectively. Given the organization’s global scope, the ideal candidate is flexible and comfortable working non-traditional hours to support stakeholders across multiple time zones.

ROLE

OVERVIEW

The Executive Assistant & Operations Lead serves as a trusted thought partner to the Executive Director and a central hub for organizational coordination. This role goes beyond traditional executive support, blending high-level administrative partnership with hands-on ownership of systems, projects, and operational infrastructure. The successful candidate will thrive in a fast-paced, highly collaborative team. You must be able to:

  • Effectively demonstrate excellent judgement and time management skills
  • Maintain confidentiality
  • Have the ability to multi-task and be comfortable with changing priorities
  • Be flexible and willing to work non-traditional hours periodically
  • Have prior experience supporting C-Suite executives
Key Responsibilities Executive Support & Strategic Partnership
  • Provide high-level executive support to the Executive Director, including complex calendar management, meeting preparation, correspondence and follow-up.
  • Anticipate priorities and proactively manage shifting demands.
  • Serve as a liaison between leadership and internal/external stakeholders.
  • Draft and edit communications, presentations, and briefing materials.
  • Support Board relations including meetings, materials, minutes, and follow-up.
Operations, Systems and Project Leadership
  • Own and improve internal systems, workflows, and operational processes.
  • Lead cross-functional projects and special initiatives.
  • Manage vendors, IT coordination, HR administration, and records.
  • Support website updates and digital communications.
  • Maintain organizational policies and compliance documentation.
Qualifications
  • Strong project management and systems-thinking skills.
  • Excellent written and verbal communication and be able to demonstrate a strong sense of accountability and attention to detail.
  • Be able to think strategically and be pro-active in anticipation of challenges.
  • Ability to establish and maintain professional relationships.
  • Have a high level of self-awareness and adaptability.
  • Bachelor's Degree strongly desired.
Experience
  • A minimum of 7 years of experience supporting C-Suite executives and Board of Directors.
  • Experience working in a global organization across multiple time zones.
  • Demonstrated ability to manage multiple priorities and the ability to work autonomously and within a team environment.
  • High emotional intelligence, sound judgement, and a proactive mindset.
  • Proficiency with various technology platforms including Microsoft Office, Zoom, Teams, Google Workplace and project management tools.
  • Knowledge of CRM systems, social media tools and cloud-based collaboration platforms.
