Essential Duties- Uniforms & Supplies Handling
- Regular stock truck equipment including fire extinguishers, first aid kits, FR equipment-arc flash equipment for technicians, etc.
- Process uniform orders, special/seasonal requests, handle weekly deliveries and distribution, verify weekly invoices, and submit for payment.
- Fleet Administration Support
- Reconcile monthly bills, add & delete trucks and tags—sold or new trucks.
- Manage Park Mobile Program and parking ticket administration.
- Report & Information Processing
- Proper review, distribution, and filing of all submitted technical reports, including refrigerant reports, eddy current reports, vibration analysis, augury, oil sample report, etc.
- Order oil analysis kits from Trane Chem Lab and assemble for distribution, maintain appropriate stock levels.
- Maintain up-to-date CFC licenses for all technicians in the appropriate software.
- Administrative Tasks
- Reconcile Visa bill monthly; tool purchases, Park Mobile, Amazon, etc.
- Training coordination and support for technician professional development and department meetings (on and off‑site).
- Collaborate with Service Administrator and Leadership to schedule and execute technician social events.
- Collaborate with field and office leadership to contribute articles for company newsletters.
- Work with department leadership to support and develop recognition of field and office associates.
- Maintain service personnel reference documents – flow charts, maps, profiles, and publish to Service SharePoint regularly.
- Other duties as assigned
- High school diploma required
- Minimum 2‑5 years of previous administrative experience
- Knowledgeable in Microsoft Office, including Word, Outlook, Teams, and Excel
- Familiar with the HVAC or relevant industry
- Self‑motivated, determined
- Ability to lift 25 lbs regularly
- Sitting for extended periods of time
- Ability to work in standard office environment
