Clerical, Office Administrator/ Coordinator
GRADE: 63
SALARY: $34,920.00 annually with benefits package
Responsibilities- Provide front‑line administrative and clerical support to multiple program areas within the Human Resources Division.
- Manage client intake, handling incoming and outgoing communications, and maintain accurate records.
- Process incoming clients using the ii Reception system for Food and Nutrition Services, Medicaid, Work First, Daycare, and Crisis Intervention programs.
- Verify client information through NC FAST and distribute applications and documentation to appropriate staff.
- Assist clients with navigating agency services and provide courteous customer service.
- Answer and direct incoming calls, provide front‑desk coverage, and manage incoming and outgoing mail.
- Assist with document scanning and records management, maintain lobby materials and public areas, and offer general administrative support to staff.
- Help train new support staff, distribute office supplies, attend trainings and unit meetings, and complete miscellaneous clerical duties as assigned.
Effective communication in person and by telephone with professionalism and confidentiality; courteous customer service and positive public image; general knowledge of agency programs and ability to provide information and direct clients appropriately; problem‑solving, accurate information gathering and relay, independent inquiry resolution; efficient multitasking in a fast‑paced environment while maintaining accuracy; working knowledge of office equipment and computer systems, including inquiries and data entry within agency systems.
Minimum Requirements and ExperienceGraduation from high school and demonstrated possession of knowledge, skills, and abilities gained through at least three years of office assistant/secretarial experience; or completion of a two‑year secretarial science or business administration program with one year of responsible experience as described above; or an equivalent combination of training and experience.
PreferencePreference may be given to those with bilingual skills and/or DSS experience.
Additional EligibilityApplicants may qualify for a work‑against‑appointment position with a certain degree of education and experience.
