The Executive Assistant to the President is responsible for the overall operation of the President’s Office and support of the President.

Responsibilities include:

provide high-level administrative support to the President; manage the President’s calendar to ensure most efficient use of the President’s time; promote the Presbyterian College image by representing the president internally and externally; serve as the initial point of contact for the President’s office.

The Executive Assistant is expected to embody a professional and cheerful representation of Presbyterian College and the President to various internal and external stakeholders. They must exhibit dedication to the college’s mission , along with trustworthiness, self-motivation, flexibility, and the ability to collaborate effectively. Strong communication skills and a penchant for detail-oriented tasks are also essential.

Essential Duties and Responsibilities
  • Provide administrative support to the President for the Board of Trustee’s meetings and respective Committee meetings:
    • Establish and maintain a trustee calendar for board meetings, committee meetings, monthly Administrative Committee conference calls.
    • Prepare and maintain minutes of board and committee meetings. Monitor and execute board business that requires action.
    • Order supplies for meeting books, assemble meeting books via the Board Effect software platform, send out information to Trustees, maintain reservations (meeting rooms) for Board meetings, coordinate catering orders and confirmations, meeting room set up, and AV requirements and confirmations.
    • Maintain Trustee membership roster and Trustee contact information, and additional duties as assigned.
    • Performs all Board related responsibilities as required.
  • Work closely with the Coordinator of College & Advancement Events on various functions supported by the President’s Office/home – i.e., football games/President’s box, alumni events, Christmas events, commencement, etc. – and provide support, as needed, during the events.
  • Along with the Coordinator of College & Advancement Events meet regularly with the Executive Director of Strategic Initiatives (EDSI) to inform details of upcoming campus events and functions hosted by the President.
  • Add calendar entries to the President’s spouse’s calendar and assist as needed.
  • Assist with the development and management of the budgets under control of the President’s Office by working directly with the Controller.
  • Maintain college credit card receipts and online coding for the President’s office.
  • Represent the President, as requested, at internal college meetings – i.e. planning of commencement, planning of faculty/staff luncheon, etc.
  • Coordinate with the EDSI, Marketing, and Advancement Departments in the preparation of talking points, speeches, and any other speaking-related materials to prepare the President for such engagements.
  • Prepare for and attend all Cabinet meetings and maintain minutes of Cabinet meetings. Communicate directly, on behalf of the President, with members of the Cabinet on matters directly related to the members and/or college-related issues.
  • Facilitate seamless communication between the President’s office and internal departments, exercising leadership to uphold credibility, confidentiality, trust, and collaboration with faculty and staff.
  • Stay informed about challenges, issues, circumstances, and developments pertinent to the President’s interests; employ autonomous discernment and foresight in addressing matters that demand the President’s attention, ensuring prompt and effective action.
  • Remain competent and current through self-directed professional reading, develop professional relationships with colleagues, attend professional development seminars, and attend training and/or courses as required by the President.
Skill Requirements / Education
  • Seven+ years of professional support experience in an office environment. A minimum of five years of experience must be at the executive level.
  • Possess excellent verbal and written communication skills.
