The Receptionist serves as the first point of contact for customers, visitors, and callers, creating a welcoming and professional experience while supporting daily office operations. This role is essential in keeping communication organized, the front office running smoothly, and leadership supported.

Key Responsibilities:
  • Greet and welcome all visitors in a friendly, professional manner and direct them appropriately
  • Notify team members promptly of visitor arrivals
  • Answer all inbound phone calls, screen inquiries, and transfer calls to the appropriate team member
  • Send follow‑up emails related to incoming calls and accurately document notes within the CRM system
  • Process ACH payments for customers when needed and adding in customer payments into CRM system
  • Collect, sort, and distribute incoming and outgoing mail
  • Prepare and send mailers for sold projects
  • Write and mail thank‑you cards to potential customers following their first appointment
  • Print daily appointment schedule for showroom visits
  • Maintain organization of the front office and showroom, including light cleaning, tidying, trash removal, and general upkeep
  • Assist the owner with day‑to‑day administrative and office support tasks, including ordering weekly food items and helping prepare the office at the start of the day
  • Manage and organize Brian’s email inbox based on urgency and required follow‑up
  • Provide basic care for the office dog, Zeke, including ensuring access to water and taking him outside as needed

  • Strong communication and organizational skills
  • Ability to multitask and prioritize in a fast‑paced office environment
  • Comfortable using Outlook, CRM systems, and basic office technology
  • Detail‑oriented with a proactive, helpful attitude
