Capital Orthopaedics & Sports Medicine (COSM) is seeking a Patient Care Coordinator to join our team. This is a fast-paced, patient-facing position responsible for coordinating appointments, referrals, surgery scheduling, and other administrative aspects of the patient experience.

The ideal candidate is organized, detail-oriented, professional, and enjoys working with patients, physicians, clinical staff, and outside facilities. Strong communication and customer service skills are essential, as this position serves as an important point of contact for our patients and healthcare partners.

What You’ll Do
  • Provide exceptional customer service to patients, physicians, clinical staff, vendors, and outside facilities
  • Coordinate patient scheduling in partnership with clinical staff to ensure appointments are scheduled appropriately
  • Answer a high volume of incoming telephone calls and triage calls to determine the appropriate level of urgency
  • Complete patient pre-registration, including obtaining demographics, insurance, and other information needed for efficient claim processing
  • Schedule surgeries, outpatient testing, and other services
  • Process and coordinate internal and external referrals and ensure requests are complete and documented in a timely manner
  • Review referrals, orders, and second-opinion requests for completeness and follow up when additional information is needed
  • Provide administrative support to the clinical team for referrals, surgical orders, outpatient testing, and external services
  • Monitor and coordinate no-shows, cancellations, and rescheduled appointments in accordance with company policies
  • Prepare surgical reports and other documentation for physicians and clinical staff
  • Scan and maintain documentation in appropriate patient records
  • Respond to information requests from patients, healthcare facilities, vendors, and other internal and external contacts
  • Monitor referral patterns and provide appropriate reports to leadership
  • Assist with Workers’ Compensation coordination for surgeries and other services
  • Assist with collection of outstanding patient balances and bad debt
  • Maintain HIPAA, privacy, confidentiality, and compliance standards
  • Perform general clerical duties and other responsibilities as assigned
What We’re Looking For
  • High school diploma or GED required
  • 1–3 years of experience in a medical office, healthcare facility, or high-volume customer service environment
  • Medical terminology knowledge required; orthopaedic terminology preferred
  • Experience with medical office procedures and/or insurance preferred
  • Knowledge of ICD-10 and CPT coding preferred
  • Knowledge of HIPAA requirements
  • Excellent verbal and written communication skills
  • Strong customer service skills and a professional demeanor
  • Ability to prioritize and manage multiple tasks in a fast-paced environment
  • Strong attention to detail and organizational skills
  • Ability to understand and follow detailed oral and written instructions
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat
  • Typing speed of 30–40 words per minute
Physical Requirements

This position requires the ability to sit and work at a computer for extended periods and spend significant time on the telephone. The position may also require standing, bending, twisting, lifting, gripping, and carrying items weighing up to 20 pounds.
