Responsibilities

Provides administrative support to the Director of Training and Quality Assurance Manager.

Drafts, formats, edits, and distributes correspondence, policies, procedures, reports, forms, presentations, training materials, and other documents.

Develops and maintains spreadsheets, databases, tracking tools, and other systems to monitor departmental projects and workflows.

Maintains departmental files and records.

Supports coordination of HSD's New Employee Learning Journey, training programs, and other department initiatives by assisting with scheduling, participant communications, documentation, and tracking.

Assists with maintaining departmental training records, accreditation documentation, and other electronic filing systems.

Coordinates meeting logistics including scheduling, room reservations, virtual meeting platforms, agendas, participant communications, and meeting materials.

Records meeting minutes, distributes meeting notes, tracks action items, and follows up on assigned tasks.

Assists with planning and coordinating training events, meetings, accreditation activities, and other departmental projects.

Monitors project timelines, maintains project tracking tools, and provides reminders regarding deadlines and outstanding action items.

Assists with purchasing requests, contracts, travel authorizations, expense documentation, and other administrative processes in accordance with Fond du Lac policies.

Appropriate work attire is required.

Must attend all mandatory department trainings.

Maintains confidentiality of employee, client, financial, quality assurance, accreditation, and other sensitive information in accordance with HIPAA, applicable privacy laws, and Fond du Lac policies.

Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.

Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.

Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.

Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.

Maintains a clean and organized work area.

Due to changes and modifications in the job from time to time, employees are required to be flexible and assume other responsibilities assigned by management as deemed necessary.

Qualifications

Two-year Associate Degree in Human Services, Business Administration, Office Administration, Healthcare Administration, or similar field required.

1
-2 years of experience in office support or similar roles and responsibilities is required.

1-2 years' experience working with Native American communities and demonstrated knowledge of Native culture, customs, and traditions is required

Ability to work with the public is required.

Strong organizational skills and time management skills are required.

Ability to coordinate multiple projects, prioritize competing deadlines, and adapt to changing priorities is required.

Proficiency with Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Teams, and SharePoint) is required.

Ability to communicate effectively orally and in writing is required.

Typing proficiency is required.

Ability to work independently and establish priorities is required.

Attention to detail and accuracy is required.

Ability to establish professional and harmonious working relationships on all projects and with all parties involved.

Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation's Personnel Policies.
