Bilingual Appointment Coordinator

Job SummaryThe Bilingual Appointment Coordinator is responsible for enabling patients to access care at the clinic by providing administrative support to the Providers, answering telephone calls from patients, scheduling and confirming appointments, and providing for a smooth and efficient patient flow process. Assignments may vary as determined by the Department Lead or Administration.
Schedule- Monday - Friday
- 40 Hours a week
- 8am – 5 pm
- $23.25-$24.75
DOE
- Obtains statement from patients or family as to nature of visit, anticipating needs of provider accordingly so as to schedule appropriate time slot for each visit.
- Creates new patient accounts in Intergy.
- Takes telephone messages in Epic for prescription refills, patient provider questions and routes them accordingly to the medical assistants and/or provider.
- Schedules additional follow-up appointments directly with the patient when leaving the office.
- Reviews Clientele List (if available for their suite) each morning and contacts those patients that were not confirmed for their appointment.
- Promptly notifies the Department Lead and/or provider of any unusual occurrences in the patient or unusual activity in the clinic; follows through as advised.
- Consistently follows established safety policies and procedures.
- Adheres to policies and procedures as outlined in the Employee Handbook.
- Provides highest quality of customer service.
- Other duties as assigned by the Department Lead and/or Administration.
- 3-5 years of experience answering multiple phone lines (Medical office experience). Busy setting. 200 calls a day.
- Strong Knowledge of Epic & Nex Gen.(must have worked in it in the last 15 months)
- Excellent verbal and written English communication skills
- Understanding of insurances including HMOs, PPOs and Medicare
- Knowledge of copays, deductibles and out-of-pocket expenses
- Bilingual (English/Spanish)
- Needs a friendly voice & needs to be able to effectively deescalate upset patients on the phone.
- Telephone etiquette should be second nature
- Ability to manage and prioritize multiple tasks
- Ability to calmly and professionally resolve issues with diplomacy
- Ability to work independently with minimal supervision
- High School Diploma or equivalent required
