This is a great part-time position for an applicant looking to work in an educational and an office setting with a regular Monday-to-Friday schedule (Mon-Thurs. 1:45 p.m. to 6:30 p.m., and Friday’s 1:00 p.m
to 5:00 p.m.)

As the first point of contact for the college, this role is essential to creating a welcoming and efficient experience for students, staff, and visitors. Responsibilities include managing multiple phone lines, delivering high‑quality customer service to callers and walk‑in guests, and providing administrative support across the department.

The ideal candidate will demonstrate excellent verbal and written communication skills in both English and Spanish, with strong spelling, grammar, and punctuation abilities. They should be knowledgeable about standard administrative and business office practices, highly organized, and consistently attentive to detail in all work tasks.

Success in this position requires the ability to follow instructions, adapt well to changing situations, exercise common sense, take initiative, and effectively solve problems as they arise.

  • High school diploma or GED, prefer completion of college level courses AA or BA.
  • Minimum of one year of experience handling phones, administrative, clerical, customer service; or combination of these areas.
  • Ability to utilize Microsoft Office, Word, Excel and Outlook at an intermediate to advanced skill level; type 35-40 words per minute.

    - Thursday 1:45 p.m.

    -6:30 p.m., and Friday’s 1:00-5:00 p.m. Ideally will have flexibility to work extra hours occasionally as needed to cover a morning shift.
  • Bilingual Spanish speaker required; reading and writing fluency strongly preferred.
  • Must be able to regularly work Monday
    - Thursday from 1:45 p.m. to 6:30 p.m., and Friday’s 1:00 p.m. to 5:00 pm.
  • Provide top-tier customer service over the phone, in-person to staff, students, prospective students, faculty, and the public.
    Professionally answer and direct calls in English & Spanish; retrieve and distribute voice mail messages, as needed throughout the day. Requires correct use of English and Spanish, spelling, grammar, and punctuation.
  • Make outbound calls for events and confirm appointments for multiple departments.
  • Answer general questions and be knowledgeable of activities and events occurring on campus.
  • Receive and process the mail daily, accurately and promptly receipt payments, monitor any returned mail.
  • Proficiently utilize the postage equipment to include online business services and shipping; ensure postage funds are sufficiently maintained.
  • Provide routine office support for multiple staff and departments.
  • Regularly updating database systems, creating and updating materials, fliers, and mailings or emails.
  • Maintain and create excel spreadsheets, data entry, download documents and track the progress and provide updates to multiple departments.
  • Scan multiple institutional files to include student files/records, including additional documents to existing student records, alumni files, withdrawals, incomplete applicant files, and donor records.
  • Must be able to process any documents and maintain the integrity and confidentiality of information and respond to requests in a timely manner.
  • Maintain, organize and inventory supplies, order office and other supplies for multi-use areas such as the workforce and staff lounge.
  • Operate business machinery: postage, printer, facsimile, scanner, and other miscellaneous machines; and basic trouble shooting office equipment.
  • Ability to take directions, receive and able to constructively act on professional coaching received, and maintain a good working relationship with co-workers and the supervisor.

Hourly pay range: $18.00-$22.00

Must be able to remain in a stationary position for more than 80% of the time, regular use a keyboard and other office machinery, ability to observe and detect details at close range, regularly able to be mobile, i.e., circulate through the building which requires use of stairs or elevator, must be able to move boxes weighing 20 pounds for various needs.
