Position Description

The Spa Receptionist Associate AM coordinates and schedules all spa services, pools, and other spa functions (e.g., spa groups), participates in overall quality control, maintains and assists with monthly retail inventory, merchandises the retail area, and communicates with Spa Director about inventory levels and guest inquiries.

The Spa Receptionist Associate opens and closes the spa, handles cash, and uses the spa software system. They adhere to opening, ongoing, and closing checklists and communicate schedule changes or issues to appropriate spa staff. They follow grooming standards to maintain a clean, neat appearance.

Essential Job Functions / Responsibilities

Promptly answer phones and provide accurate spa menu and related resort information.

Book guest appointments efficiently and accurately; assist Lead Spa Coordinator, Spa Coordinator and Spa Director with bookings, communication and paperwork.

Greet guests with a sincere welcome and explain services in the spa menu.

Engage spa guests in friendly conversation when appropriate.

Maintain comprehensive knowledge of all spa menu, retail products, and services.

Articulate and describe all spa services and products clearly and enthusiastically.

Escort and guide guests through the spa facility as needed, in a friendly, unhurried manner.

Promote service specials and spa facilities.

Communicate with Lead Spa Coordinator and/or Spa & Retail Director regarding guest requests or problems.

Handle daily paperwork as directed or per protocol.

Open and close the spa, including cash handling, processing receipts, running reports, and ensuring close-out reports reflect issues, activities, and services.

Keep front desk and lobby reception areas immaculate, and manage beverage containers away from the front desk area.

Assist with monthly retail inventory planning and execution.

Use downtime to review checklists and follow instructions or seek guidance from Spa and Retail Director.

Perform Spa Attendant duties as needed.

Understand first aid/emergency procedures and direct guests accordingly.

Incorporate the resort’s culture of service excellence, mission, and core values into all aspects of job performance.

Qualifications

Minimum of two years of combined spa or hotel front desk and/or retail experience preferred.

CPR certification preferred.

High school diploma (or equivalent).

Computer skills, experience, and aptitude.

Reliability and punctuality are critical.

Ability to work under pressure with a high level of patience.

Desire to ensure the best possible guest experience.

Ability to work evenings, weekends, weekdays, and holidays required.

Ability to work in a quiet environment with exposure to heat and steam.

Ability to stand for eight or more hours per day; ability to lift up to 40 pounds and perform related physical tasks.

Manual dexterity; auditory and visual skills; ability to follow written and oral instructions; and clear spoken communication.
