Why does the job exist?

The Supervisor, Office Support will:

  • Devote a substantial portion of time to assigning and directly supervising the work of at least two (2) full-time equivalent employees;
  • Provide and coordinate administrative support services for the Health Care Authority (HCA) Income Support Division (ISD) County Offices, County Director, Line Managers and staff;
  • Provide support services for all areas of client and customer service in the reception area, to include handling information requests, and performing clerical and secretarial functions;
  • Direct and coordinate the execution of fiscal, property management, personnel, and management information systems activities;
  • Supervise and direct the clerical unit, ensuring that the unit meets standards set by state and federal guidelines, as well as incentive measures.
How does it get done?

The Supervisor, Office Support is responsible for:

  • Devoting a substantial portion of time assigning and directly supervising work of at least two (2) permanent/full-time employees;
  • Coordinating general office functions such as secretarial, bookkeeping, property management, procurement, information systems, or personnel duties; and provide training to staff;
  • Acting upon leave requests, conducting annual performance evaluations, and recommending disciplinary actions;
  • Conducting training of personnel; may interview and recommend selection of applicants;
  • Providing career coaching through mentoring and arranges for outside training opportunities when possible.
Who are the customers?
  • External customers including employers, Courts, and contractors;
  • Internal customers including the County Director, Line Managers, field staff, Attorneys, State Disbursement Unit, and The Centralized Enforcement Unit.
Ideal Candidate

The Ideal Candidate has experience:

  • Identifying and analyzing problems; weighs relevance and accuracy of information; generates and evaluates alternative solutions; makes recommendations;
  • Responding to inquiries from staff in regard to personnel issues utilizing State Personnel Office (SPO) rules and regulations as well as HCA policies and procedures;
  • Utilizing excellent communication skills (both verbal and written);
  • Utilizing professional etiquette while communicating in person or on the telephone;
  • Organizing, prioritizing, being detail oriented and focused;
  • Supervising, monitoring, and evaluating staff;
  • Listening effectively and clarifying information as needed.

High School diploma or equivalent and two (2) years experience in office administration, customer service, records management technique and procedures, basic accounting, and/or business administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.

Employment Requirements

Must possess and maintain a valid Driver's License. Must obtain a Defensive Driving Certificate.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage.

Bargaining Unit Position

This position is not covered by a collective bargaining agreement.
