Purpose Statement
The job of Administrative Assistant
- High School Attendance is done for the purpose/s of ensuring accurate attendance accounting within the district; providing general clerical support, information and/or direction as may be assigned; resolving attendance related issues; promoting an atmosphere conductive to the efficient operation of the high school; insuring optimal services are made available to staff, students, parents, or guardians; and conveying attendance related information to appropriate parties.
Essential Functions
- Assists with compiling student records (e.g. attendance, birth certificates, transfers, immunization, Apptegy, etc.) for the purpose of meeting state, federal and/or district requirements.
- Communicates with a wide variety of individuals (e.g. students, teachers, parents, staff, guidance counselors, district employees, juvenile detention authorities, probation officers, etc.) for the purpose of providing information, resolving problems and coordinating activities and processes.
- Controls student entry/exit from campus during school hours (e.g. generating admission slips, late notices, class release forms, etc.) for the purpose of ensuring accurate tracking and documentation of student attendance information.
- Directs the activities of student workers as needed and/or assigned for the purpose of guiding and monitoring their activities; maximizing their efficiency and meeting work requirements.
- Ensures accuracy of attendance records for the purpose of complying with state laws governing attendance accounting.
- Greets public, parents, students, vendors, etc. for the purpose of responding to and/or screening inquiries, taking appropriate action or directing to appropriate personnel.
- Maintains professional awareness of regulations regarding child welfare and attendance for the purpose of ensuring that state laws, board policy, and administrative regulations are in compliance.
- Maintains documents, files and records (manual and computer) (e.g. time sheets, leave requests, admit/release slips, Power School, Absence Management, visitor book, student sign out records, attendance reports, monthly payroll, attendance letters, etc.) for the purpose of providing up-to-date reference and audit trail for compliance.
- Operates building security system (e.g. front door entries, monitors school cameras and doors, etc.) for the purpose of maintaining a safe and secure campus.
- Operates automated student attendance system and other software and as needed for the purpose of accurate tracking and documentation of student attendance information (as assigned).
- Prepares a variety of written materials (e.g. reports, passes, memos, absent letters, time sheets, Drug Testing letters, normal correspondence, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Processes documents and materials (e.g. email, files, referrals, AESOP reports, messages from voicemail, mail, Power School, etc.) for the purpose of disseminating information to appropriate parties.
- Researches discrepancies of attendance information and/or documentation (e.g. absence notes, passes, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing for action.
- Works with teachers, guidance counselors, staff and principals for the purpose of ensuring students who are absent or frequently tardy are being monitored and are responding to corrective efforts.
Other Functions
- Assists other personnel, as may be required, (e.g. nurse, other office personnel, administrators, staff members, etc.) for the purpose of ensuring an efficient and effective work environment.

Skills, Knowledge and Abilities
SKILLS are required to perform single, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using job related software applications; performing standard bookkeeping; preparing and maintaining accurate records; and using pertinent software applications.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: bookkeeping principles and practices; standard office machines, methods and practices of office operations; basic computer applications;
