Awaken Creative is looking for a dependable, organized, and teachable Communications & Administrative Assistant to join our team at our Coeur d’Alene office.

This position will play an important role in keeping our day-to-day operations organized and moving forward. You’ll help manage incoming communication, scheduling, reporting, and administrative tasks while also helping the owner stay organized and focused on the highest-priority areas of the business.

While this is primarily an administrative and communications position, we are a creative marketing company, so there will also be opportunities to assist with marketing and creative-related tasks.

We’re looking for someone who is efficient, dependable, comfortable taking initiative, and willing to learn. You don’t need to know everything on day one, but you do need to be someone who can learn quickly, stay organized, and follow through.

Responsibilities

Your day-to-day responsibilities may include:

  • Answering incoming sales and business phone calls
  • Responding to and organizing company emails
  • Managing calendars, appointments, meetings, and scheduling
  • Helping the owner organize and prioritize tasks, deadlines, meetings, and follow-ups
  • Assisting with general administrative and executive assistant responsibilities
  • Preparing and organizing monthly reports
  • Following up on tasks, conversations, and outstanding items
  • Maintaining organized documents, records, and internal information
  • Assisting with basic marketing and creative tasks
  • Communicating professionally with clients, prospects, vendors, and team members
  • Helping with miscellaneous projects and last-minute needs as they arise
  • Supporting the team with administrative tasks that keep daily operations running smoothly

Because we are a growing small business, this position may occasionally include responsibilities outside of a traditional receptionist or administrative role. We’re looking for someone who is comfortable jumping in and helping where needed.

Preferred Experience & Skills

Previous experience in all of these areas is not required
, but the following would be helpful:

  • Receptionist or front-office experience
  • Administrative assistant experience
  • Executive assistant experience
  • Calendar and scheduling management
  • Customer service or phone experience
  • Google Workspace, including Gmail, Google Calendar, Google Docs, and Google Sheets
  • Creating or organizing reports
  • Basic understanding of marketing or social media
  • Experience working in a marketing, advertising, or creative environment
Adobe Experience

A working knowledge of Adobe Creative Cloud is preferred.

You do not need to be a professional graphic designer, but you should be comfortable navigating creative software and be willing to learn.

Experience with programs such as the following is a plus:
  • Adobe Photoshop
  • Adobe Illustrator
  • Adobe Acrobat
  • Other Adobe Creative Cloud applications
