Lead Secretary

The Lead Secretary position works closely with the building administration to provide a friendly and helpful environment for all students, parents, and staff. The Lead Secretary position works to ensure the day to day operations of the office and school run efficiently. The position is the first person the students and parents typically see or talk to on a day to day basis.

Qualifications Profile:

  • High school diploma or GED equivalent
  • Associates degree preferred
  • Some accounting skills preferred
  • Secretarial or HR experience is preferred
  • Must be able to pass a background check
  • Must be able to pass a TB skin test and basic physical

Essential Job Functions:

  • Performance of secretarial duties for the building principal
  • Accounting skills and monitoring of activity budgets, writing checks, etc.
  • Answers all phone calls and screens calls as necessary
  • Works with students to direct and support their needs
  • Greets patrons and customers and helps with any immediate questions/problems
  • Sorts and delivers mail in employee mailboxes
  • Files necessary documents and maintains personnel files as needed including confidential files
  • Maintains building calendar of scheduled events
  • Maintains a schedule of appointments and makes arrangements for conferences
  • General clerical and receptionist duties as assigned
  • Performs any bookkeeping tasks associated with the specific position
  • Orders and maintains supplies as needed

Knowledge, Skills and Abilities:

  • Excellent oral and written communication skills
  • Knowledge of accounting measures
  • Knowledge of computer applications, i.e. Word/Excel/Outlook
  • Knowledge of confidential information and how to properly handle and secure such information including FERPA and HIPAA requirements
  • Able to work and remain calm under pressure
  • Friendly demeanor to incoming staff/patrons/parents

Physical Requirement/Mental Demands/

Environmental Conditions:

  • Requires the ability to maintain emotional control while under stress and in stressful situations
  • Requires the ability to frequently stand for prolonged periods of time
  • Requires the ability to walk frequently
  • Requires the ability to use standard office equipment including computer and peripherals and other instructional equipment for prolonged periods of time
  • Requires the ability to frequently use repetitive hand motions, including frequent keyboarding and mouse use
  • Requires the ability to frequently kneel/squat, bend/stoop, push/pull, twist, or reach
  • Requires the ability to frequently lift and carry items 25 lbs. or less. Periodically up to 50 lbs.
  • Requires the ability to work and concentrate in noisy and crowded environments
  • Requires the ability to work with frequent interruptions
  • Requires timeliness and regular attendance and/or physical presence at the job
  • May be exposed to communicable diseases
  • Works closely with the sub coordinator to cover teacher absences

Equipment:

  • Uses standard school equipment such as personal computers, printer, copy and fax machines

Travel Requirements:

  • Travels to other district buildings and communities/districts for professional meetings as required
