Role Description

the Sales Administrator is a full-time, on-site role based in Cold Lake, AB, supporting the sales team and ensuring smooth daily operations. This position plays a key role in coordinating sales activities, managing inventory records, preparing quotes and delivery documentation, and acting as a liaison between Sales, Parts, Service, and Operations.

The successful candidate will:

  • Have a genuine interest in the equipment industry.
  • Understand basic purchasing and receiving processes.
  • Be comfortable working with inventory, equipment specifications, and sales documentation.
  • Demonstrate strong customer service and relationship-building skills.
  • Be eager to learn and complete required Bobcat and Develon product training.
Key Responsibilities Customer Service & Communications
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Respond to customer inquiries and provide general sales support.
  • Maintain positive relationships with customers and internal stakeholders.
Sales Support
  • Support Field Sales Representatives with administrative and operational tasks.
  • Prepare, build, and distribute customer quotations accurately and in a timely manner.
  • Provide inside sales support and assist with customer follow-up activities.
  • Maintain sales documentation and customer records.
Inventory & Equipment Administration
  • Manage and maintain inventory records, including whole goods and attachments.
  • Coordinate equipment ordering and track inventory availability.
  • Assist with equipment receiving, purchase order processing, and Brown's receiving procedures.
  • Ensure inventory information is current and accurate within company systems.
Delivery Coordination
  • Prepare delivery reports and documentation for the Sales Team to present to customers.
  • Coordinate equipment deliveries and ensure all required paperwork is completed.
  • Assist in the organization and scheduling of customer equipment deliveries.
Cross Department Collaboration
  • Act as a liaison between Sales, Parts, and Service departments to support customer needs and sales activities.
  • Coordinate internally to ensure equipment readiness and timely customer delivery.
  • Facilitate effective communication between departments to resolve customer issues and support sales objectives.
Training & Development
  • Complete required Bobcat and Develon product and sales training programs.
  • Maintain current knowledge of products, promotions, and company procedures.
  • Participate in ongoing training and professional development opportunities.
Qualifications
  • Basic knowledge of purchasing processes, inventory control, and parts operations.
  • Interest in/general knowledge of construction, agricultural, compact, or heavy equipment.
  • High school diploma or equivalent; post-secondary education in Business Administration, Sales, or a related field is considered an asset.
  • Previous experience in administration, sales support, customer service, or equipment dealership operations preferred.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Strong interpersonal skills and a team-oriented mindset.
  • Experience with inventory management and ERP systems is considered an asset.
Preferred Qualifications
  • Experience in a dealership, equipment, construction, or industrial environment.
  • Familiarity with inventory management systems and purchase order processes.
  • Knowledge of Bobcat, Develon, or similar equipment brands is considered an asset.
  • Experience working with parts and service departments
