Job Summary

All general administrative support positions are expected to perform common office procedures such as answering phone calls, providing information and customer service to students, employees and/or the community, word processing or data entry, and maintaining records while maintaining confidentiality. This position provides comprehensive administrative and operational support to the Associate Directors of School Safety and Risk Management, ensuring smooth and efficient departmental operations.

Responsibilities include maintaining and tracking data for school safety programs, processing access card requests, supporting door scheduling functions, organizing meetings and events, creating proofing and publishing documents, managing budgets, and assisting with special projects. The role also supports risk management activities, such as assisting with workers' compensation claims, maintaining the database of Certificates of Insurance, and handling ergonomic equipment orders.

A strong organizational skill set, proficiency with technology—particularly MS Excel—plus excellent attention to detail are required.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Prepare and submit purchase orders.
  • AP Verify invoices to Accounts Payable once approved; process miscellaneous and mileage reimbursements for department staff.
  • Reconcile PCard (BMO) transactions and ensure proper coding; track expenditures promptly and accurately.
  • Track and maintain department budgets daily, collaborating on financial planning with colleagues.
  • Order and maintain department supplies; order and track delivery of supplies and equipment for ergonomic requests.
  • Process payroll monthly, ensuring timely and accurate submissions.
  • Handle access card requests and support door scheduling operations daily.
  • Collect, update, and maintain accurate data in Excel for various tasks and reports.
  • Participate in risk management activities, including assisting Risk Manager with administrative support for workers' compensation claims.
  • Maintain Certificate of Insurance database for district employees.
  • Schedule appointments or meetings for Director and department; coordinate events and meetings at Support Services and offsite.
  • Work individually and as a team member on special projects assigned by managers and directors.
  • Provide information and support to internal and external stakeholders as needed.
  • Collaborate with the team to ensure smooth daily operations and successful project outcomes.
WORKING ENVIRONMENT

Generally, the job requires 80% sitting, 10% walking, and 10% standing. The job is performed under minimal temperature variations, generally hazard‑free environment, and in a clean atmosphere. The usual and customary methods of performing the functions of this job require the following physical demands:

  • Frequent reaching, handling, fingering and/or feeling.
  • Occasional lifting, carrying, pushing and/or pulling.
  • Seldom climbing and balancing.
  • Seldom stooping, kneeling, crouching and/or crawling.
EDUCATION AND EXPERIENCE
  • High school diploma or equivalent.
  • Four years of job‑related experience with increasing levels of responsibility OR an AA degree and two years of job‑related experience with increasing levels of responsibility.
  • Experience with Word and Excel software programs desired.
