Role DescriptionThe Accounting Assistant is a full-time, on-site role located in College Station, TX. This role supports daily accounting operations, including processing invoices, recording expenses, and assisting with accounts payable and accounts receivable. The Accounting Assistant helps maintain accurate financial records, prepares basic reports, and assists with the reconciliation of accounts and bank statements. The role includes entering data into accounting software, organizing documentation for financial audits, and supporting the preparation of monthly and annual financial summaries.
This position works closely with the construction and project management teams to ensure timely billing, vendor payments, and consistent financial tracking for ongoing projects.
- Oversee full-cycle accounts payable (AP) and accounts receivable (AR).
- Process vendor invoices, payments, and expense reports.
- Monitor aging reports and follow up on overdue customer accounts.
- Ensure accurate recording of all cash inflows and outflows.
- Manage end-to-end monthly or bi-weekly payroll operations.
- Verify timesheets, wage calculations, and deductions.
- File quarterly and annual payroll tax forms correctly.
- Handle employee inquiries regarding payroll and benefits.
- Reconcile all company bank accounts and credit cards monthly.
- Identify and resolve banking discrepancies in a timely manner.
- Maintain the general ledger and prepare monthly journal entries.
- Assist with month-end and year-end close processes.
- Prepare financial reports, balance sheets, and income statements.
- Ensure compliance with company policies and tax regulations.
- Strong foundational knowledge of Accounting and Finance suitable for supporting day-to-day construction business operations.
- Ability to assist in preparing and reviewing Financial Statements and basic financial reports with attention to accuracy.
- Hands‑on experience with Quickbooks and other Accounting Software and systems used for data entry, reporting, and account reconciliation.
- Bookkeeping skills, including recording transactions, maintaining ledgers, and organizing supporting documentation.
- Proficiency with spreadsheets and office productivity tools (e.g., Microsoft Excel, Word, and email applications).
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines.
- Effective communication skills and the ability to collaborate with project managers, vendors, and internal team members.
$65,000-$75,000 or commensurate with experience
