THE OPPORTUNITY

We are looking for a highly capable Executive Assistant whose primary calling is to bring order, clarity, and reliability to the life and leadership of the Executive Director so our Gospel work can move forward unhindered.
This role is primarily administrative. It is for someone who loves building systems, managing details, anticipating needs, and taking responsibility for making life work smoothly – especially for someone else.

THE ROLE (CLEAR AND HONEST)
The Executive Assistant is responsible for organizing, managing, and sustaining the Executive Director’s professional and ministry life – and, at times, helping bring order to life logistics as well.
This role exists to:
- Design and run administrative systems
- Anticipate needs before they surface
- Protect time, focus, and energy
- Ensure nothing important slips through the cracks
You are not waiting for instructions—you are setting the table, building the systems, and telling the Executive Director, “Here’s how this should work.”
WHAT YOU’LL OWN
You will take full ownership of organizing and managing:
EXECUTIVE DIRECTOR RESPONSIBILITIES
- Master calendar management (Breakaway, travel, guest speaking, writing, teaching)
- Scheduling and planning for sermon prep, message rhythms, and other writing projects
- Travel logistics for speaking engagements inside and outside Breakaway
- Email triage and communication on behalf of the Executive Director
- Task tracking, project management, prioritization, and follow-through
MINISTRY AND OPERATIONAL SUPPORT
- Tuesday night preparation and execution support
- Event planning logistics for key ministry and fundraising events
- Discipling and developing volunteers connected to admin support
SYSTEMS AND SANITY
- Designing systems that actually work—and maintaining them
- Bringing order to complexity
- Noticing gaps before they become fires
- Creating dependable rhythms that reduce chaos for everyone
HOW YOU’LL LEAD (EVEN THOUGH THIS IS ADMIN)
This role leads through competence, trust, and consistency.
You will:
- Set clear systems and expectations
- Follow through relentlessly
- Communicate clearly and calmly
- Carry culture, tone, and discretion
- Lead student volunteers without burning them out
This is not a spotlight role.
It is a load-bearing role.
