Position Summary

We are seeking a highly organized, business-mature, and professional Executive Administrative Assistant to support the CEO. This individual will serve as a business partner, ensuring the CEO’s time, priorities, and communications are managed with precision and discretion. The ideal candidate is tech-savvy, detail-oriented, and able to operate independently in a fast-paced, high-performance in a corporate environment.

Key Responsibilities
  • Self-starter to anticipate needs, proactively solve problems, and ensure time sensitive priorities stay on track
  • Manage the CEO’s complex calendar, scheduling meetings, prioritizing commitments, and resolving conflicts
  • Track key initiatives, follow up on action items, and ensure deadlines are met
  • Act as a liaison between the CEO and senior leadership, clients, and stakeholders
  • Coordinate internal and external communications on behalf of the CEO with professionalism and confidentiality
  • Support meeting preparation, including agendas, materials, and minutes
  • Organize travel arrangements, itineraries, and expense reporting
  • Prepare standard financial data and ad-hoc reports, create presentations, and executive-level documents
  • Handle sensitive information with a high degree of discretion and integrity
  • Continuously improve administrative processes and workflows
  • Perform other duties as assigned
Qualifications
  • 7+ years of proven experience supporting C-level executives or senior leadership
  • Ability to operate independently with minimal supervision
  • Ability to anticipate needs and work proactively
  • High level of discretion and emotional intelligence
  • Strong business maturity and professional presence
  • Excellent organizational, time management, and multitasking skills
  • Comfortable working in a fast-paced, dynamic environment
  • Excellent written and verbal communication skills
  • Tech-savvy with strong proficiency in Microsoft Office Suite, including intermediate Excel skills. (Word, PowerPoint, Outlook calendar)
  • Ability to create and manage presentations using PowerPoint or similar tools
Preferred Skills
  • Experience using artificial intelligence (AI) tools to improve work efficiency, automate tasks, and enhance data-driven decision-making

High visibility role with direct exposure to leadership and strategic initiatives
