Job Description

The Office of the Registrar is seeking an Administrative Coordinator I who will support the accurate and timely reporting of student enrollment and degree information to the National Student Clearinghouse and the National Student Loan Data System. The candidate must be dependable, detail‑oriented, and able to work in a deadline‑driven environment.

Salary and Compensation

Proposed Minimum Salary: $3,750.00 monthly

Salary Range: $45,000 - $49,500 annually (based on qualifications)

Essential Duties and Tasks Processes Enrollment and Degree Files
  • Provide support for administrative operations to ensure accurate student records are reported within the appropriate timeframe to the National Student Clearinghouse (NSC) for verification of enrollment and degree.
  • Respond to NSC error reports (received every 28 days or less) and discrepancy notices by updating the student record within the NSC database and Compass.
  • Monitor reporting of current students and those who have ever received federal financial aid to the National Student Loan Data System (NSLDS) to ensure accurate and timely reporting in compliance with U.S. Department of Education regulations.
  • Ensure corrections made with NSC are reflected accurately in the NSLDS database.
  • Process manual updates to the NSLDS database when appropriate.
  • Respond to Enrollment and Degree Verification requests.
Responds to Enrollment and Degree Verification Requests
  • Research and respond to enrollment and degree verification requests where information within the NSC database is not available or inaccurate.
  • Enter or correct information within the NSC database.
  • Respond to third‑party requestor emails when confirmation of NSC information is sought.
  • Adhere to FERPA and consider other privacy issues when responding.
Processes Professional Program Student Leave of Absences (LOAs) / Withdrawals (WDs)
  • Process leave of absence/withdrawal requests for professional programs in Dentistry, Law, Medicine, Pharmacy, and Veterinary Medicine.
  • Ensure all necessary information is included for complete and accurate update of the student record.
  • Verify approval from individuals with proper authority.
  • Communicate with professional program contacts to resolve discrepancies.
  • Notify other constituents when records have been updated so related updates can be made in a timely manner.
  • Monitor NSC and NSLDS to ensure accurate reporting of processed LOAs and WDs.
Reviews, Updates, and Maintains Processes
  • Stay abreast of proposed and new federal legislation related to enrollment reporting requirements.
  • Assist in developing and updating processes in accordance with federal legislation and in cooperation with Texas A&M University Scholarships & Financial Aid Office.
  • Assist with development and maintenance of written policies and procedures.
  • Assist with development and testing of automated processes within the student information management system to facilitate accurate reporting.
  • Ensure adherence to department policies and procedures.
  • Interpret, research, and respond to inquiries about rules, regulations, policies, and procedures.
  • Coordinate the retention and maintenance of office references and resource materials.
General Duties
  • Develop and maintain professional relationships with NSC and NSLDS representatives, individuals within the Scholarships & Financial Aid Office, contacts within TAMU professional programs, and all other internal and external parties concerned with enrollment reporting.
  • Attend occasional travel for professional conferences and/or training relevant to enrollment reporting.
