Job Description:
The Graduate Academic Advisor IV advises graduate students and guides faculty on university policies. Manage student records, develop advising materials, and coordinate events. Assists in developing advising policies, evaluate practices, and mentor advising staff. May also advise student organizations and support program coordination.
Responsibilities:
40%:
Admissions:
- Coordinates and oversees the Graduate Program, including processing applications for the ECEN graduate program, and screening the applications.
- Email frequently with groups to get their feedback on application decisions.
- Updates Web Admit programs each year for the upcoming term.
- Ensure all new and current faculty have access to Web Admit by adding them as an authorized user to the system.
- Processing applications across multiple terms at the same time
- Collect, Analyze and Report data related to admissions.
- Designs and implements programs intended to facilitate the application process.
- Providing administrative support to the department.
- Interacting with prospective students, answering questions, and resolving concerns.
- Making proper documentation on the students Howdy profile regarding their area admitted, degree pursuing, advisor, funding etc.
- Coordinates transfer credits for incoming students by preparing the paperwork, sending to the Graduate Coordinator and faculty members.

Funding:
- Inform the groups of when the departmental application is open to current students.
- Selecting MSDS students for scholarships.
- Keeps track of all funding and account balances.
- Keeps track of required funding for fellow awardees.
- Assists with RA offer letters for incoming students.
10%:
Business Office Support:
- Serves as the SPARTA liaison for the business office. Posts funding to SPARTA when requested by the business office for awards not given by the ECEN Graduate office.
- Manages a Teams page between the business office and the graduate office.
- Assist the business office with locating documents and resolving questions students send the business office.
- Attends meetings with business office to discuss their needs.
20%:
Recruitment:
- Coordinates and tracks the Fast Track program
- Monitor the REU/Early Admission process and the Automatic Admission process.
- Co-coordinates with other advisors on departmental events including New Student Orientation, Gala, Scholarship Banquet, Qualifying Exam, and Graduation Reception.
- Coordinates logistics and plans for several recruiting events.
- Host graduation booth at scheduled time
- USRG Graduate office point of Contact. Students contact me when interested.
- Schedule meetings with faculty for interested students.
- Develops recruitment activities.
5%:
Administrative:
- Attends GIC monthly meetings.
- Administers drop requests for deferral requests made after the first day of classes.
- Placing students in courses via compass.
- Utilizing the UAS (University Adjustment System) to add certificates to students' degree plans.

Other Duties:
- Performs other duties as assigned.
What We Need:
- Bachelor's degree or an equivalent combination of education and experience
- 5 years of related experience.
