Administrative Coordinator I

The Administrative Coordinator I will help to manage and provide support to the Biology Department front office. The selected candidate will work to provide problem resolution to department members and will assist in the planning of departmental events or meetings.

Opportunities to Contribute:

  • Ensure achievement of front office department goals.
  • Assist with supervision and training of student workers.
  • Develop, organize, implement, and oversee departmental front office activities, programs, policies, and procedures including and related to department vehicles, shipping, campus mail, and problem solving.
  • Coordinate departmental vehicle (s) maintenance pickup/drop off.
  • Facilitate shipping for the department which can include taking special packages to off campus places such as Fed Ex drop off location.
  • Review, recommend, and implement policy changes and initiate process changes in front office policies.
  • May consult on policy changes with other areas in department.
  • Investigate complaints and assist in problem resolution in front office and other areas of the department.
  • Provide input for budget needs of front office when needed.
  • Support front office staff with tasks and projects as needed.
  • Help to coordinate supplies for events at the department level.
  • Assist faculty and administrative staff with questions and problem resolution.
  • Scan and edit documents into an electronic format for use by faculty and staff.
  • Assist professors and administrative staff with hardware questions and problems.
  • Coordinate receiving documents past their retention date and managing their documentation and removal by Records Management Office.

Qualifications:

  • Bachelor's degree or any equivalent combination of education and experience.
  • Two years of experience in office administration.
  • Must have a Class "C" vehicle operator's license or ability to obtain within 30 days of employment.

A well-qualified candidate may also possess:

  • Experience in problem resolution and project collaboration.
  • Ability to multi-task and work cooperatively with others.
  • Ability to work in a collaborative team environment.
  • General computer proficiency in word processing, spreadsheet, database applications.
  • Detail-oriented, independent and with excellent interpersonal skills.
  • Strong organizational, written or oral communications skills.
  • Ability to communicate clearly and effectively to ensure understanding.

Salary:
Compensation will be commensurate based on the selected candidate's education and experience.
