Program Coordinator – Mays Business School – Center for Executive Development

College Station, Texas | Staff | Minimum Salary: $50,000–$55,000 (Program Coordinator I) / $52,000–$60,000 (Program Coordinator II)

The Center for Executive Development (CED) at Mays Business School seeks collaborative, service‑mindful professionals for Program Coordinator I and Program Coordinator II positions. Ideal candidates have strong event management, project coordination, customer service, and hospitality skills, with the ability to build relationships with clients, participants, faculty, vendors, and colleagues. Successful applicants will bring strong organizational skills, a tech‑savvy mindset, and the ability to juggle multiple priorities and stakeholder needs.

Key Responsibilities
  • Vendor coordination: serve as primary point of contact, arrange transportation, catering, hotel rooms, invoices, and orientation/banquet events.
  • Program coordination: schedule dates and times, support virtual, in‑person, or hybrid programs, manage budgets, create user accounts, train faculty, ensure safety and health compliance, develop stakeholder relationships, and maintain CRM tools.
  • Operations coordination: order supplies, maintain program calendar, assist with training materials, train and assign projects to student workers.
  • Instructor coordination: coordinate curriculum schedules, ensure presentation materials and training aids are available, and assemble training notebooks.
  • Participant coordination: manage transportation, orientation, catering, and group photos, providing follow‑up communication.
  • Office assistance: support executive or prospective student visits, communicate with visitors, arrange tours, and serve as backup to Executive Assistant and Administrative Associate.
Qualifications

Program Coordinator I

  • Bachelor’s degree or equivalent education and experience.
  • At least 2 years of administrative or program/event coordination experience.
  • Experience with Microsoft Office, Adobe Creative Suite, and registration software.
  • State of Texas class “C” driver’s license or ability to obtain within 30 days.
  • Strong communication, hospitality, and multi‑calendar management skills.
  • Proficiency in word processing, spreadsheets, databases, and presentation tools.

Program Coordinator II

  • Bachelor’s degree or equivalent education and experience.
  • Four years of project management, event coordination, or program administration experience.
  • Experience with Microsoft Office, Adobe Creative Suite, registration software, Hub Spot, , or Canva.
  • Five or more years of experience in project management and event coordination; supervisory experience preferred.
  • Experience working with high‑level executives and industry professionals.
  • Strong organizational, time‑management, and communication skills; ability to adapt quickly to changing situations.
Additional Information
  • Positions may require travel and work beyond normal business hours or on weekends.
