Graduate Student Specialist IV

The Graduate and Professional School is seeking a Graduate Student Specialist IV to support graduate education operations, processes, and student services. This role serves as a key resource for students, faculty, and staff, managing graduate records, academic procedures, and program requirements with a high level of accuracy and compliance. The ideal candidate is detail-oriented, proactive, and collaborative, with strong communication skills and the ability to manage multiple priorities while contributing to continuous process improvement and an enhanced graduate student experience.

Salary: $59,895.00 - $65,884.50 (based on selected hire's qualifications)

Work beyond normal business hours, some evenings and/or weekends may be required for special events.

Essential Duties/Tasks
  • Processing documents and reports
    - Processes official University graduate student documents related to all aspects of English Language Proficiency, Authorized Signer Requests, Graduate Committee Faculty Nominations, and Special Topics Course Requests. Manages guidance to students and departmental graduate advisors on the basics of requirements and guides or refers appropriately, students with procedural concerns involving admissions, standardized tests, transfer work, filing of degree plans, various petition processes, changes of curriculum, Ombuds issues, examination procedures, authorized signatures, other University graduate degree requirements, and graduation.

    Processes and exports needed reports for review of data and research.
  • Graduate student and customer support
    - Manages the guidance of graduate students, faculty, and staff on all aspects of graduate and professional education. Manages the guidance of graduate students in areas involving as admissions, standardized tests, transfer work, degree requirements related to degree clearance, thesis/dissertation/record of study clearance, examination procedures, other University graduate degree requirements, graduation, and/or Ombuds issues.
  • Communications
    - Manages communications with faculty/staff in areas involving Graduate and Professional Council, Graduate Committee Faculty, English Language Proficiency, Authorized Signers, and Special Topics Course Requests and the various official University forms pertaining to them. Directs multiple departmental staff regarding the position's duties and responsibilities. Manages new and existing programs and projects and will work to enhance graduate school programs
  • Business process and procedure
    - Serves as the administrator for the Graduate and Professional Council, helping to ensure a smooth process for all curricular items brought before the council. Presents Graduate and Professional School Policy Changes to the council. Maintains program requirements in Compass. Maintains all procedures related to the Graduate and Professional Council, Graduate Committee Faculty, English Language Proficiency, Authorized Signers, and Special Topics Course Requests.

    Manages the Graduate and Professional Catalog review and update process.
  • Training and workshops
    - Provides management/functional assistance with efforts coordinated by the Graduate and Professional school such as New Graduate Student Orientations, professional development activities, fellowship workshops, awards ceremonies, thesis and dissertation pre-submittal workshops, Grad Advisor Workshops, Grad Advisor Development Sessions, and commencements.
  • Assists in the planning, development, and delivery of graduate degree-related training and resources to students and graduate advisors (face-to-face and online). Manages and engages efforts to assess, improve, and streamline operations. Oversees logistics of Grad School workshops and or trainings.
  • Event & operational support
    - Assist with event and operational support activities, including required and mandatory all-hands-on-deck events. Support coordination of logistics, space, materials, and staffing needs to ensure successful execution of events. Provide additional operational support as needed to assist with departmental priorities and high-volume activities.
