POSITION SUMMARY

The office Administrator is a key member of our team, responsible for providing administrative support to ensure the smooth and efficient operation of our projects and office environment. This position requires a dedicated and resourceful individual who can handle multiple tasks with efficiency and professionalism. This role involves handling a variety of tasks essential to the day‑to‑day functions of the company, supporting both the administrative and operational aspects of our business.

OBJECTIVES
  • Manage incoming calls, emails, and correspondence, directing them to the appropriate parties.
  • Maintain and manage office files and documents with high accuracy and confidentiality.
  • Develop and maintain a filing system to ensure critical administrative records and documents are organized and easily accessible.
  • Maintain polite and professional communication via phone, e‑mail, and mail, going the extra mile to be courteous to help the organization build on its relationships with customers, vendors, team members, and any other stakeholders that do business with Ironsmith Fire.
  • Support the team by organizing meetings, managing schedules, and providing logistical support.
  • Assist with recruitment efforts, including posting job openings and scheduling interviews.
  • Handle office tasks, such as filing, generating reports, setting up for meetings, and maintaining office supplies inventory.
  • Maintain confidentiality and security of sensitive information and documents.
  • Maintain employee records, ensuring accuracy and confidentiality.
  • Administer employee benefits and assist with payroll processing.
  • Provide administrative support to office and field staff as needed.
  • Assist with project documentation, such as subcontract agreements, permits, etc.
  • Uphold the company’s values in all interactions and operations, fostering a professional and positive office environment, and representing the company with poise and integrity.
  • Take on various projects and tasks not specifically covered under other job descriptions, requiring creativity and flexibility. Be prepared to step into roles or responsibilities as needed to support specific projects or organizational needs.
REQUIREMENTS COMPETENCIES
  • Service‑based personality.
  • Organized and detail oriented. Maintains a consistent, organized, and reliable work ethic.
  • Technologically proficient with Microsoft Office Suite, project management and CRM software.
  • Delivers high quality results in a timely and efficient manner.
EDUCATION AND EXPERIENCE
  • Bachelor’s degree in Business Administration preferred, but not required.
  • Administrator experience preferred.

PHYSICAL REQUIREMENTS
  • Ability to maintain a high level of energy and stamina to manage long hours, travel requirements, and the stress associated with high‑level decision making.

  • Good general health to fulfill job responsibilities effectively, including being able to work long hours when necessary.
