Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
HOURS
Part‑time hourly position (4 days a week). Occasional evenings and weekend day or night required.
JOB PURPOSEThe Administrative Assistant assists in all day‑to‑day operations of the office and brings value to the organization by offering support to the Executive Director and Board of Directors. The role is responsible for many aspects of membership with the Chamber, including record keeping, communication, bookkeeping, and some event coordination.
DUTIES AND RESPONSIBILITIESThe Administrative Assistant position carries a high level of professionalism and promotes the Chamber of Commerce and its member activities. Effective communication with the Executive Director, Board of Directors, Chamber members, and the public is vital. The individual will facilitate various office tasks, maintain meticulous records, and manage several communication platforms.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES- Answer phone calls and respond to member and public inquiries.
- Help with general office tasks, ordering supplies, filing, light office cleaning, etc.
- Update and maintain membership records with accuracy and attention to detail.
- Greet visitors and provide assistance as needed.
- Assist with planning, scheduling, and executing networking and special events, projects, and initiatives as directed.
- Invoice and receive payments.
- Learn and adapt quickly to software and programs used for membership, events, and payments.
- Maintain strict confidentiality and professionalism at all times.
- Prepare newsletters in Constant Contact.
- Support committees, volunteers, and the Board.
- Manage social media accounts, website content, and other office communication.
- Other duties as assigned.
- Assist the Executive Director and Festival Committees with office work for the International Horseradish Festival and Italian Fest.

- Work at a fast pace and overcome challenges quickly.
- Initiate daily, weekly, and monthly repetitive tasks accurately, promptly, and without reminder.

- Quick and self‑directed learner of new concepts, equipment, and software.
- Good computer skills and ability to navigate digital platforms.
- Ability to lift to 25 pounds.
- Ability to sit at a desk for long periods of time.
- Windows Suite (Word, Excel, Publisher, Outlook)
- Constant Contact internet‑based mass communication and event management system.
- Chamber Master.
- Square.
- Facebook and Instagram.
- Google Drive, Word Press‑Website Platform.
- Reliable transportation.
- Canva and graphic design skills.
- High School Diploma.
- Three to five years of related experience and/or training.
- Reliable transportation.
Office located at 221 West Main St., Collinsville, IL 62234. $15 hourly. Tuesday – Friday 9 am – 3:30 pm. 30‑minute lunch break. Paid Federal Holidays. Relaxed office environment.
