Job SummaryThe Titled Collateral Specialist is responsible for ensuring the bank’s vehicle and loan collateral records are properly perfected, maintained, and documented in compliance with bank policies and regulatory requirements. This position supports efficient loan operations through accurate processing, tracking, and maintenance of collateral documentation and lien records.
EssentialJob Duties
- Ensure all vehicle collateral liens are perfected accurately and in a timely manner.
- Process new title work and verify correct taxes, registration fees, and supporting documentation are completed and paid.
- Maintain and update collateral tickler reports and exception tracking systems.
- Track, research, and document issues related to lien placement, title delays, or missing documentation.
- Follow up with dealerships, state offices, and third-party vendors regarding title status and collateral issues.
- Scan, index, and file vehicle titles and collateral documentation in imaging systems.
- Assist management with developing and implementing new processes to improve workflow efficiency within the department.
- Perform departmental duties as needed to maintain adequate workflow and operational support.
- Maintain accurate records while ensuring compliance with bank policies and regulatory requirements.
- Provide support for audits, examinations, and internal reviews as requested.
- Perform other duties, tasks, or functions as assigned.
- Strong organizational skills and attention to detail.
- Ability to manage deadlines and prioritize multiple tasks effectively.
- Strong communication and problem‑solving skills.
- Ability to maintain confidentiality and work independently.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
- Experience with document imaging and tracking systems.
- Ability to work within core banking and collateral management systems.
- Accurate data entry and record‑keeping skills.
- High school diploma or equivalent required; associate degree preferred.
- Previous banking, loan operations, title processing, or collateral experience preferred.
- Knowledge of vehicle title processing, lien perfection, and collateral documentation preferred.
- Professional office environment within a community banking and loan operations setting.
- Standard business hours Monday through Friday, with occasional overtime or schedule adjustments based on operational demands, month‑end processing, audits, or workflow volume.
- Ability to remain seated for extended periods while performing computer and administrative work.
- Frequent use of hands, fingers, and wrists for typing, scanning, filing, and operating standard office equipment.
- Ability to read and review detailed documents, computer screens, and reports accurately.
- Frequent repetitive motions involving keyboarding, mouse usage, and document handling.
- Ability to communicate effectively in person, by telephone, and through electronic communication.
- Occasionally required to stand, walk, bend, stoop, reach, or move throughout the office to retrieve files or assist with departmental operations.
- Ability to lift, carry, push, or move files, records, and office materials weighing up to 20 pounds.
- Ability to maintain concentration and attention to detail while handling multiple tasks and deadlines in a fast‑paced environment.
- $17.00 - $21.00 per hour, eligible for performance‑based bonuses and incentives.
