THE OPPORTUNITYAs our Administrative Assistant/Receptionist, you are the heartbeat of our office — the first voice, the first smile, and the person who keeps everything running smoothly behind the scenes. You’ll play a key role in welcoming new team members, supporting our field and office teams, and helping create a positive, organized, and professional workplace every day.

WHAT YOU WILL BE DOING- You will be the friendly first point of contact — answering and screening incoming calls, greeting guests, and ensuring messages get to the right people quickly and accurately.
- Partnering with HR to support new hire onboarding, including preparing paperwork and assisting with orientations and any employee relations activity that requires translation.
Providing essential administrative support, including:
- Providing translation support when necessary.
- Tracking and entering daily time and attendance discrepancies into our software system.
- Preparing reports (Daily Huddle, Safety, DVIR, Manpower Hours Worked, etc.).
- Assisting in the preparation and distribution of newsletters and foreman binders.
- Scheduling meetings and maintaining key spreadsheets.
- Preparing mailing labels and correspondence.
- Creating, updating, and distributing office forms and internal contact lists.
- Keeping the reception area, office, and kitchen organized and welcoming.
- Ordering office supplies and coordinating with IT vendors to set up computers, email, and phones/iPhone for new employees.
- Setting up and distributing cell phones and tablets and assist with basic troubleshooting.
- Supporting employee events and activities that help build our team culture.
- Running occasional office errands as needed.

- At least 1 year of reception or administrative experience.
- Comfort in using general office equipment and basic computer programs
- A strong phone and communication skills
