We value excellence, authenticity, accountability, growth, humility, service, and purpose in everything we do.

We are looking for a highly organized, people-oriented Wellness Coordinator to help create an exceptional experience for our clients while supporting the day-to-day operations of our growing clinic.

This role is ideal for someone who thrives in a fast-paced environment, communicates with warmth and professionalism, enjoys administrative coordination, and has a passion for helping people improve their lives through health and wellness.

What You’ll Do

As a Wellness Coordinator, you’ll play a central role in supporting both clients and clinic operations by:

  • Preserving a warm, welcoming clinic environment
  • Helping maintain smooth clinic flow and daily operational organization
  • Supporting prospective and new clients through onboarding and nurture communication
  • Managing client communication through phone, email, voicemail, and secure messaging
  • Coordinating scheduling, appointment preparation, check-ins, and checkouts
  • Preparing charts, labs, and materials for provider appointments
  • Assisting with inventory, supplements, office supplies, and administrative tasks
  • Supporting workshops, events, and occasional evening events
  • Assisting with social media engagement and community interaction
What We’re Looking For

The ideal candidate is:

  • Highly organized and detail-oriented
  • Warm, professional, and service-minded
  • A strong communicator with excellent follow-through
  • Comfortable balancing multiple priorities in a fast-paced environment
  • Positive, adaptable, and solution-oriented
  • Tech-savvy and comfortable learning new systems
  • Passionate about wellness, personal growth, and helping others
  • Able to work collaboratively within a close-knit team culture
Success in This Role Looks Like
  • Anticipating needs before problems arise
  • Thinking critically and making sound decisions in a fast-moving environment
  • Managing and prioritizing multiple streams of information without losing attention to detail
  • Creating organization and clarity from complex situations
  • Identifying operational inefficiencies and helping improve systems and workflows
  • Taking ownership instead of waiting for direction
  • Communicating proactively with both clients and team members
  • Remaining calm, thoughtful, and solution-oriented under pressure

We are not simply looking for someone who can complete tasks — we are looking for someone who can think critically, identify patterns, solve problems proactively, and help create better systems as the clinic grows.

Preferred Qualifications
  • 2+ years of administrative, customer service, healthcare, wellness, or client-facing experience
  • Experience in a medical, chiropractic, wellness, fitness, or healthcare environment preferred
  • Strong organizational and communication skills
  • Proficiency with computers, scheduling systems, email, and social media
  • Bachelor’s degree preferred, but not required
  • 4-day clinic week after onboarding/training completion
  • Paid time off
  • Matching IRA contributions up to 3%
  • Bonus opportunities
  • Employee Functional Medicine Wellness Program
  • Positive, growth-oriented team culture
About Upstream Functional Medicine

This role is more than administrative support. We are looking for a proactive thinker who can process information quickly, anticipate needs, solve problems, and help create exceptional systems and experiences for both clients and team members.
